Register integrated card processing

Integrated Card Processing needs to be registered as a module before the configuration options are available.
First purchase the module in order to obtain a registration number, then follow the procedure below.


  1. Select Configure > Practice Information... to open the Practice Information window.
  2. Select the Register button.
  3. In the Register window,

    Register-IntegratedCardPayments

    1. Locate and click (select) the Integrated Card Payments option.
    2. Click the Register button:
    3. Type or paste the Registration number into the Registration field.
    4. Select OK.
    5. Select OK to close the Register window.
  4. Restart EXACT to activate the registration.

Prerequisites
- Requires Administrator security rights.

- Integrated Card Processing needs to be registered as a module before the configuration options are available.

- The hardware terminals must be set up on your network as EXACT needs to search for and locate them.
See the terminal manufacturer instructions if your terminals have not already been installed.
From v12.8 the supported MAC Address range for Spire terminals is configurable.

  1. Open the Patient Payments window through Configure > Patient Payments...

  2. Enable Integrated Card Processing:
    1. Check (tick) the checkbox,grey-checked Enable Integrated Card Processing checkbox (by default this is de-selected):

    Notice that the Configuration (spanner) button becomes active.

  3. Enable and Add the .CARD payment type:
    1. Close the Patient Payments window and re-open it so that EXACT can enable Integrated Card Processing, and add the .CARD payment method:

    Notice that the .CARD payment method is deliberately listed first, in anticipation of this being the preferred payment type.


    1. Under Payment Methods click the [+1] button:

    2. In the Add Payment Method window select the Card Terminal option.

      (If you don't see it, check that Integrated Card Payments is registered as a module)
    3. Select OK.
  4. Add terminals and configure the Integrated Card Processing:

    This requires that the hardware terminals are set up on your network. See the terminal manufacturer instructions if your terminals have not already been installed.
    From v12.8 the supported MAC Address range for Spire terminals is configurable.

    1. Click the Configuration (spanner) button:

      This opens the Card Terminal Setup.

      A terminal is the hardware through which to process payments.

      You can have multiple terminals in the practice.

      Each terminal requires a unique Name, IP Address (obtained locally), Port Number (obtained locally) and Mac Address (assigned by Stripe).


    2. Click the [Search for Terminals] button:

    TROUBLESHOOTING IF YOU CANNOT LOCATE A TERMINAL:
    From v12.8 the supported MAC Address range for Spire terminals is configurable - please refer to Support for details.


    1. Initially the Terminals all have the same name, so they need to be customised. Select a Terminal and click the Edit button, then customise the Name:

    2. Select OK.

      The software tests the connection, and you will see a success message:

    3. Repeat this process to custom-name all terminals.


      NOTE: You can also add terminals manually, as described in Manually adding Terminals.

The first time that you attempt to use a card terminal from a workstation, EXACT will prompt you to Set Default Card Terminal for that workstation.

  1. Select Configure > Computer Settings... to open the Computer Settings screen, then in the Name field select a computer.
  2. Under Default Card Terminal heading, select the terminal from the dropdown menu.

  3. Select the Save button.

    EXACT will prompt you to Set Default Card Terminal for your current workstation.

  4. Simply select from the dropdown menu and then click OK:

  5. Repeat this procedure for each workstation that you wish to use for card processing.

Disabling Integrated Card Payments

  1. Un-check the checkbox for Enable Integrated Card Processing.
  2. Close and re-open the Patient Payments configuration.

    You will see that the .CARD option and the Integrated Card Processing configuration (spanner) button are greyed out:

    If you select the Edit button for .CARD you will see that it is marked as inactive:
