Quick Chart Menu

The Quick Chart menu is a customisable hover menu that displays as you move your mouse cursor over the Tooth Chart,

It provides an information summary and the capability to quickly apply both Services and Quick Plans to the highlighted tooth.

As you apply Services and Quick Plans to the chart, EXACT adds them to a Course of Treatment below the chart.

Purpose

This is a dynamic hover menu that displays as you move your mouse cursor over each tooth in the chart.

Quick application of both services and Quick Plans to teeth:

Many dentists spend much of their working day on treatment plans and billing. The Quick Chart Menu is a productivity tool that directly improves efficiency in treatment planning by providing quick access to the services and Quick Plans that they use most frequently in charting.

How is it used?

Each dentist can customise the hover menu with the Services and Quick Plans most likely to be used in charting. Services / Quick Plans have a customisable icon, and Providers can hover the mouse cursor over an icon to see a summary tooltip.

This is a simple procedure, so Providers can even customise the menu for setting up treatments for individual patients.

Hover the mouse cursor over a tooth to display a hover menu with the charting history of the current tooth, and icons for applying Services and Quick Plans.

Apply a service or a Quick Plan to the tooth or the tooth surface(s). This graphically "applies" the treatment to the tooth and lists the treatment in the tooth history.

When applying Quick Plans, they list in the Course Of Treatment window according to a configuration setting - either they form a new COT or they insert at the current cursor position.

An important productivity tool

If you spend considerable time in treatment plans and billing, it is particularly useful to learn all Quick Chart Menu facilities in order to maximise productivity.

Features

The most significant features include:

  • An intuitive context-sensitive hover menu (Quick Chart Menu) enables quick application of Services and Quick Plans to teeth.

  • The applied Services and Quick Plans are automatically listed in the Course Of Treatment (COT)

  • The Quick Chart Menu is fully customisable:

    • Automatically populate it with the most commonly used services, or add services can manually.

    • Quickly alter the size of the menu grid and number of services shown.

    • Delete services or drag them from the hover menu.

    • Add new services to the hover menu by double-clicking them in the list.

    • Reposition services in the hover menu or group them as required.

    • Customise services with a different icon and/or colour, either via the hover menu, or using the Edit Service Item dialogue.

    • Create custom tabs and populate them with Services / Quick Plans.

  • Hide or show the menu.

  • Historical tooth treatment displays on the menu.

  • Optional Autofill to populate the menu with most-used services.

  • Optionally copy one dentist Quick Chart Menu configuration to other dentists. This both facilitates quick setup and it enables your practice to standardise charting Services and Quick Plans. Copied configurations can still be customised.

Benefits

  • This Quick Chart Menu feature is available to all local EXACT users, and does not require registration.

  • Apply Services and Quick Plans to the chart without taking your attention off the chart.

  • The Quick Chart Menu is graphically intuitive, so it speeds and simplifies charting.

  • The tooth history per tooth is listed in the Quick Chart Menu, so you do not have to move away from the chart to read it; you can move quickly from tooth to tooth to scan the full history of all teeth.

  • For purposes of populating the Quick Chart Menu, EXACT identifies your most frequently used services and positions them at the top of service lists. You can also prompt EXACT to recalculate this calculation.

  • You can very quickly customise the Quick Chart Menu with a set of Services and Quick Plans that best apply to a particular users or subset of users.

  • As you apply Services and Quick Plans to teeth, they populate the Course Of Treatment with configured details, so on completion of charting the COT is already constructed.

Requirements

  • Quick Chart Menu is available from EXACT version 10.16.

  • Quick Plans and editable tabs can be used on the Quick Chart Menu from EXACT version 12.7 

  • Services and Quick Plans need to be defined before they are available for applying via the menu.

  • Usage statistics are not available for new EXACT users.

    Usage statistics define which services Autofill the menu, but they can only be defined if there is a working history of services usage; i.e. they can only be defined for existing EXACT users.

    When existing users upgrade their software, an upgrade process analyses the practice chart data and compiles a list of the most used treatment and base chart codes for each user. This process considers parameters such as the last year's data for each user or their last 5000 service items usage.

  • In the Edit Service Item screen, a menu graphic should be assigned per service item, except for the chart graphic type, which has pre-configured menu graphics.

EXACT assigns icons during the initial software update

When you upgrade EXACT from v12.6 or earlier to v12.7 or later, your Quick Plans are automatically assigned icons.

For example, the Quick Plans tab in the Charting screen:

You still have the option to customise these, but they will retain the "Quick Plan identifier" icon_QuickPlan_13x13 as an overlay. For example:

Quick Plans are custom collections of services that can be applied in the same way as services.

The Configure Quick Chart Menu includes a Quick Plan tab with a list of Quick Plans:

Optionally sort the Quick Plan tab list by different means:

  • By Provider

  • By Type

  • By column header in the table


Populate the Quick Chart Menu with both Services and Quick Plans

Populate the Quick Chart Menu with Quick Plan icons as you do with Services:

Interaction of Quick Chart Menu and Details screen

From the Quick Plans tab in the Charting screen, double-click a Quick Plan to open the Details screen.

Change the Details screen as required and click OK to apply changes to the chart.

You can make further changes and click Cancel to cancel them (only the last OKed changes are retained in this window).

If you first select a tooth on the Chart and then open the Details screen, the screen will open with that tooth pre-selected:


Optional behaviour on Quick Plan double-click in the Quick Chart Menu

In the Quick Plan Wizard you can configure what happens when you double-click a Quick Plan icon in the Quick Chart Menu:

  • Create a new Course of Treatment using the Quick Plan

    - or -

  • Add the Quick Plan to an existing Course of Treatment

Add to an existing COT

If configured to add to an existing COT, when you double-click it in the Quick Chart Menu, you will see a Where to add quick plan popup.

Select either

  • Insert at cursor position, orAdd to end of current COT

Copy one Provider's Quick Chart Menu to another Provider

To standardise in the practice, or simply to save time, you can replicate one Provider Quick Chart Menu across to another Provider.

For a new practice you can create once and then replicate to all Providers, who can then optionally customise their own Quick Charts.

Edit a Chart Item directly from the Quick Chart Menu

Double-click a Chart Item listed at the bottom of the Quick Chart Menu to open the editable Chart Item window.

(Note that if the item has already been charged, you can only edit it up until midnight of the current day.)

From the Quick Chart Menu you can right-click > Configure, and then select graphic icons directly from the Configure Quick Chart Menu window:

Menu Screen

The Quick Chart Menu hovers over the chart as you move your mouse cursor over teeth.

The menu applies to both Normal 5-8 surface charting and to the optional 16-surface charting, available from version 11 onwards.

Each icon in the hover menu represents either a Service or a Quick Plan that can be quickly applied to the tooth.

If you hover over the icon you will see a tooltip identifying that service or Quick Plan.

Quick Plan icons are identifiable by a standard overlay: icon_QuickPlan_13x13.

The Base menu:

This menu also lists both Historical and Current Treatments for this tooth.

You can configure the menu with a set of icons that best apply per patient. So, for example, you may load the menu with crown and bridge services when planning treatment for one patient, and load the menu with cosmetic services for another patient.

You can hide or show this menu, and it is fully customisable:

  • Add or remove services depending on the treatment you are planning.

  • Change the icons and colours for services.

  • Change the size of the Base menu and the Treatment menu, to be able to display more or less icons.

Hiding and Showing the Quick Chart Menu

Right-click the Quick Chart and select Hide Quick Chart Menu:

Move your cursor over the chart, right-click the yellow tooltip and select Show Quick Chart Menu:

Drag your mouse left and right to move the menu horizontally only:

Use the left and right arrow keys to cycle through the teeth over multiple rows.


Assign Services to Teeth

To assign services to teeth in the chart

  1. Either

    • Select a service as described above and left-click, right-click or double-click a tooth area to chart the service to that area,

    - or -

    • Simply double-click the service to apply it

    The service colour highlight will appear on the tooth.

    While selected on the Quick Chart Menu this service is a toggle - click to apply and click again to remove the service, across multiple teeth.


    Simultaneously, the service will be listed below the chart:

  2. Because the service remains selected, click repeatedly to apply the same service to other teeth.


To remove a service from a tooth

(You must have the same service selected)

  1. Check what service it is by hovering the mouse cursor over the service:

  2. Select that same service from the Quick Chart Menu or from any other service list.

  3. With that same service selected, left-click or right-click the service on the tooth to remove it.


Assign Services with Further Options

If you double-click some services, they have further applicable options than a simple click.

in these cases you will see instructions on the resulting pop-up screen.

Quick Plans

  • Providers can chart Quick Plans directly from the Quick Chart Menu without also working from the Quick Plans tab.

  • While a Quick Plan is being charted, the selected tooth is updated on the chart without the dentist continually re-selecting it for each element in the plan.

  • Providers can overlap Quick Plans. For example a crown might require a multi appointment Quick Plan, but such appointments are not normally one after the other, so Providers will be able to state the order of appointments.

Benefits:

  • Faster charting of Quick Plans.

  • More flexible use of Quick Plans (overlapping) , which increases their usefulness.

Requirements:

  • <exact v12.7 or later.

  • Configuration to determine whether Quick Plans are added into the current Course Of Treatment or themselves form a new Course Of Treatment.


Quick Plans on the Quick Chart Menu - Summary

EXACT allocates default graphic icons to Quick Plans so that, like Services, they can be selected from the graphical Quick Chart Menu. These icons are identifiable by a standard overlay icon_QuickPlan_13x13 to distinguish Quick Plans from standard services. For example: SampleNewIcon

Your dental practice can optionally change these auto-allocated icons.

The Configure Quick Chart Menu window has a Quick Plans tab from which Quick Plans can be added to the Quick Chart Treatment (bottom) menu:

The Treatment menu can therefore be populated with both Quick Plans and Services.

On the Quick Chart Menu dentists can hover the mouse cursor over Quick Plans for a tooltip with the name of the Quick Plan and a summary of its treatment items.

Dentists add a Quick Plan to the currently-selected tooth, and the content of the Quick Plan is then either inserted into the current Course of Treatment below the chart, or it creates a new Course of Treatment (this option depends on a setting).

Your dental practice can copy Quick Chart Menus from one Provider to another, allowing for both practice standardisation and rapid creation of dentist Quick Chart Menus.

Assign Quick Plans to Teeth

  1. Move your cursor over the tooth chart to call up the Quick Chart Menu.

  2. Double-click a Quick Plan icon in the Quick Chart Menu.


  3. The behaviour on double-click now depends on a setting in the Quick Plan Wizard:

    • Create a new Course of Treatment using the Quick Plan

    - or -

    • Add the Quick Plan to an existing Course of Treatment


Add to an existing COT

If configured to add to an existing COT, when you double-click it in the Quick Chart Menu, you will see a Where to add quick plan popup.

Select either

  • Insert at cursor position, or

  • Add to end of current COT

Each time you apply the Quick Plan, it will populate the Course of Treatment below.


Create a new Course of Treatment

If configured with this option, the Quick Plan will create and populate a new COT tab below the tooth chart.



Configuring

Each Provider can customise the Quick Chart to optimise its effectiveness as a productivity tool.

The Quick Chart Menu template has a top Base menu and bottom Treatment menu:

These need to be configured from the Configure Quick Chart Menu window, as described in general in this topic, and in detail in the sub-topics below.


To set up the Quick Chart from the Configure Quick Chart Menu window

  1. In the Quick Chart Menu, right-click > Configure:


    The Configure Quick Chart Menu window opens by default at the Base tab:


  2. The Base and Treatment Menus need to be populated as follows from the three tabs' contents at right:

  3. Simply drag-and-drop Services and Quick Plans onto the cells of the Quick Chart Menu.

    For example:


  4. Resize the Quick Chart Menu as required by dragging from the right corner:


  5. Besides the Base tab for populating the Base Menu, use the Treatment tab to populate Services on the Treatment Menu, and the Quick Plan tab to populate Quick Plans on the Treatment Menu:

Copying Quick Chart Menus Between Providers

Why copy Quick Chart Menus?

  • It speeds the setup for Providers, who can then customise a copied Quick Chart Menu rather than start from a blank Quick Chart.

  • Your practice can standardise Provider application of Services and Quick Plans to treatments.


To copy Quick Chart Menus between Providers

In the Configure Quick Chart Menu window, fully configure a Quick Chart Menu for Provider A.

Click the Copy To button at bottom left, and select Providers B, C, D... to whom to copy it to:

If at any point you are configuring a Provider Quick Chart Menu, click the Copy From button, and select an pre-configured Provider from whom, to copy from:

To resize the Quick Chart Menu grid

In the configuration screen, drag the Base and Treatment menu grids from the top right corner to resize them as you require.

For example, here the Base area is being doubled in size so that the Base menu will be able to display more service icons:

Assign Services

To manually add Services to the Quick Chart Menu

Drag services to an appropriate menu cell:

  • or -

Double-click services to have them automatically populate cells as follows,

  • For Base menu, starting from bottom left and filling across and then upward.

  • For Treatment menu, starting from top left and filling across and then downward.


Note:

  • For purposes of populating the hover menu, EXACT identifies your most frequently used services and positions them at the top of service lists.

  • You can drag icons around the grid to re-position them.

  • If you drag a service onto an occupied square it will replace the existing service icon.

  • If you add a service to the grid when it is already in the grid, the existing icon will disappear, leaving a blank.

  • You can place services that do not have icons, but they will show up with the 'not set' icon.


To remove services from the Quick Chart Menu

Drag the icon anywhere off the menu grid:

Right-click > Clear:


To Clear All services from the Quick Chart Menu

Click the Clear All button for the selected menu:

In the Treatment tab you can conveniently display services by category.

So, for example, if you are planning a cosmetic treatment, it is convenient to be able to display just the cosmetic services for loading into the Quick Chart menu:

These available Treatment categories are as defined in the Service Code Categories configuration.

The same categories are then available throughout Charting. For example:

You can customise icons to better apply particular policies. For example, a popular strategy is to colour a range of services in a similar way:

Colour categories

Because configuration is quick and easy, you can also change the colour of many default graphics "on the fly". This enables you to assign meaning to colour variations of each graphic.

Services without assigned graphics

Services that do not have a default graphic (or user selected one) appear as a grey icon with a question mark. You can customise these by both graphic and colour.

Customisation limitations:

  • The Select Graphic button is only available to users with security permission to edit services.

  • Some graphics are pre-set:

    All the services with a chart graphic type have a fixed menu graphic that cannot be edited except with the colour setting.

    Fillings have a standard MO shape, with the graphic scaled to fit the line height. The icon cannot be customised, and the Select Graphic button is greyed out. For example, :


To customise Treatment icons from the Quick Chart

Open the Select Graphic window by any of these means:




Right-click a Treatment icon in the left Treatment menu area and Select Graphic



  • or -



Right-click a Service icon in the Services list and Select Graphic


  • or -



Select a Service icon in the Services list and click the Select Graphic button.



The Select Graphic window displays:

Customise by choosing a different icon or by changing the colour of the existing icon, and then select OK.

To customise Treatment icons from Configure > Services > Edit Service

  1. From the main EXACT interface, select Configure > Services

  2. When the list of services displays, double-click the service for which you want to edit the icon.

    The Edit Service Item screen displays.

  3. Click the Select Graphic button to display the Select Graphic window:

  4. Choose a different icon or change the colour of the existing icon, and then select OK.


When a Provider logs in, EXACT by default reads the previous 12 months of data and calculates the percentage service usage by that Provider (which services are used the most frequently , scaled down to which are used the least frequently).

The Autofill facility enables automatic population of the most used services into both the Base (top) and Treatment (bottom) areas of the Quick Chart.

A new provider has no services usage history, and therefore by default sees only 5 blank spaces on the Quick Chart Base and Treatment menus.

Once a Provider completes and charges (or TCs) some treatment plans, EXACT is able to calculate which services this Provider has used most frequently.

To check the percentage service usage

In the Configure Quick Chart Menu, user would now choose the "Recalculate List" for EXACT to check which services are used most often. Below screenshot shows a new Provider who has treated their first patient with 2 fillings (A and C). The Recalculate List button shows this now as 50% for each service. User then chooses "Auto Fill" to update these 2 services into their "Treatment" area of the QCM. Same process would be used for updating the Base tab. For practical application, the dentist would periodically go into Configure Quick Chart Menu (as needed) and choose "Recalculate List". The provider can always manually add services by double clicking or dragging them to the "rubber band" (stretch-able) QCM "grid

To Autofill the Quick Chart Menu

Autofill enables you to automatically populate the menus with the most commonly used services in the business, that are not already on the menu.

For new installations with no usage statistics:

For a completely fresh installation of EXACT, the software has no data to calculate, so will simply produce 5 empty boxes.

To customise the calculation period for autofill

Configure > Settings > quick.chart.data.monthscharted

To calculate the current usage percentages before Autofill

You have the option to click the Calculate current usage %s button prior to clicking Autofill.

This causes EXACT to recalculate all of the lists for all users simultaneously, and may take some time.

Note how the ordering of icons in the Treatment tab below follows the percentage Usage:

For convenience of adding the most appropriate services to the menu, the services list in the Configure Quick Chart Menu is sorted by most frequent usage:

How to use this list

  • View your most frequently used services by percentage usage.

  • Manually populate the Quick Chart Menu with services that are most likely to be used.

  • Autofill the Quick Chart Menu with services that the system calculates are most frequently used.

  • Manually Calculate Current Usage Percentages of the services list to refresh by most frequently used.


To calculate current usage percentages and re-sort the services list by most frequent usage

You have the option to click the Calculate Current Usage Percentages button prior to an Autofill, which will cause EXACT to recalculate all of the lists for all users simultaneously, and may take some time.

With a long list you may see a progress indicator:

Create Quick Plans in the Quick Plan Wizard

Applies from EXACT v12.7 onwards.
On upgrade from EXACT v12.6 or earlier to v12.7 or later, EXACT automatically applies icons to Quick Plans based on the Quick Plan Names.

To configure Quick Plans for use on the Quick Chart Menu

In the Quick Plans tab within the patient Chart tab, right-click a Quick Plan and select Edit:

Consider naming for convenient sorting within an alphabetical list.

This applies to where a Quick Plan will be inserted within the Course of Treatment in the Chart tab.

Your selection controls what will happen when you double-click this Quick Plan in the Quick Chart Menu:

If configured to add to an existing COT, when you double-click it in the Quick Chart Menu, you will see a Where to add quick plan popup:


Select Graphic

Click this button to open the Select Graphic window. This functions in the same way as the Services graphic window:

NOTE: Because this is a Quick Plan, no matter which graphic you choose, EXACT will overlay it with the standard Quick Plan icon: "Quick Plan identifier" as an overlay. For example:


Payor

Select a Payor to whom this Quick Plan applies.


To edit Quick Plan icons from the Configure Quick Chart Menu

  1. Display the QUick Chart Menu.

  2. Right-click it and select Configure.

  3. In the Configure Quick Chart Menu, select the Quick Plan tab:Select a Quick Plan.

  4. Click the Select Graphic button to open the Select Graphic window.

    This functions in the same way as the Services graphic window, but because this is a Quick Plan, no matter which graphic you choose, EXACT will overlay it with the standard Quick Plan icon: "Quick Plan identifier" icon_QuickPlan_13x13 as an overlay. For example:


Assign Quick Plans

Quick Plans are custom collections of services that can be applied in the same way as services.

If you have recently upgraded from a pre-v12.7 version of EXACT you will notice that the Quick Plans now have icons. These are assigned based on the Quick Plan names, but they are easily customised.. All Quick Plan icons have an identifiable overlay: icon_QuickPlan_13x13. For example:

Copy from another Provider?

Rather than set up from scratch you can optionally copy an existing Quick Chart Menu (including Quick Plans) from another Provider. 


To assign Quick Plans in the Quick Chart Menu

  1. In the Patients screen, select a patient and select the Chart tab.

  2. Hover your mouse cursor over the chart to display the blank (unconfigured) Quick Chart:


  3. Right-click the Quick Chart to display a pop-up menu, and then select Configure:

    The Configure Quick Chart Menu window displays.


  4. Click the Quick Plans tab to display Quick Plan options:

    Notice that in the Quick Chart Menu template the Treatment area is now selected and ready to be populated. The procedure will be to drag Service icons from the tab at right into the available spaces on this menu at left.

    If you have recently upgraded from a pre-v12.7 version of EXACT you will notice that the Quick Plans now have icons. These are assigned based on the Quick Plan names, but they are easily customised.. All Quick Plan icons have an identifiable overlay: icon_QuickPlan_13x13. For example:


  5. Would it speed configuration if you copied another Provider's Quick Chart? Or would it help to standardise charting in your practice?

    This is possible by means of the Copy From and Copy To buttons. 


  6. How large a Treatment menu do you need?

    Simply drag from the corner of the highlighted squares to resize the menu. 


  7. How many Quick Plans do you have in the available list? If too many to see at once, optionally sort the Quick Plan tab list by different means:

    • By Provider

    • By Type

    • By column header in the table


  8. Drag Quick Plans onto the Treatment menu.

    You can mix Services and Quick Plans on the Quick Chart Menu:
