How can I template my scheduler (appointment book)?

Oasis allows you to template your appointment book so that you can block out times that practitioners may not be available for a defined period of time. This allows you to set up start and end times, breaks and lunchtimes and any other times where a practitioner may not be available and write those times into the scheduler for a period of time. Oasis allows for multiple templates, so different templates can be used for different practitioners, or different views of the appointment book.

To use the template feature, you must define a name (or names) for your template.


 


From the Preferences menu, select My Time, Scheduler Templates.



There may already be a template name declared. If not, click New at the top of the window and add a new template name. We are going to use "Main" for this FAQ.

Once you have defined a template name, you can then close the Preferences window and open the scheduler.



At the top right of the scheduler, you will see a Tools menu. Click it and then click the Template Mode option.



At the top of the scheduler, in the date box, you will see "Main - Sunday". The template feature allows you to set up each day of the week independently. In this example, we are blocking out all day Sunday for all three practitioners. This can be done by copying and pasting from one column to the next to make it a little easier. If you have the switch set that warns you when you are copying from one column to the next, just accept the change of practitioner.



When you finish Sunday, click the Day Forward button to take you to "Main - Monday". In this example, we have set up a lunchtime for all three practitioners from 1.00pm to 2.00pm.



Click the Day Forward and it will move you to "Main - Tuesday".

Now, repeat the entry of any block-outs that apply to each practitioner for each of the remaining days of the week. You will end up on Saturday.



Once you have finished arranging your template, select the Tools menu and return to Normal Mode in the scheduler.

Now select the Tools menu and then select the Read Templates" option.



The Read Templates window allows you to select days of the week, practitioners and templates to be written into the scheduler.



In this example, we have chosen All Days, All Doctors and the "Main" template. We have then declared a Start Date and an End Date for the template to be written to the scheduler (15-10-2019 to 15-12-2019).


Click OK to write the template.



You will see dates roll by in the box under the Start / End Date area (and if you are using OLB, you will see notification that the newly written appointments have been uploaded to the OLB site.

Now if you return to the scheduler, you will be able to see the appointments block-outs in the scheduler for the defined period.



If you return to the Read Templates option, you will see at the bottom right of the window an record of all templates that have been written. If this is your first, it will be at the beginning of the list.



If you have made a mistake with the template, you can roll it back by clicking the entry in the Template Creation History and selecting the Roll Back Records option. This will remove the template from the scheduler.


NOTE: The writing of a template into the scheduler will not overwrite any existing appointments that may exist.
