NHS Wales - £0 Fluoride Varnish Charge for Under 25 / Over 60 Patients

The NHS has advised that as of April 2021, Under 25 & Over 60 aged patients with a risk of Decay (Amber) will have the NHS Band 1 charge for Fluoride Varnish lifted.
See the full NHS announcement regarding this change here: http://www.dental-referrals.nhs.wales/wp-content/uploads/2021/04/Briefing-notes-for-Free-Examinations-UPDATE.pdf

To remove the Fluoride Varnish Band 1 charge for your patients in EXACT we recommend creating a new Fluoride Varnish service specifically for use on Under 25 or Over 60 patients with a risk of decay using the steps below.
If you only have a small number of patients requiring the removal of the Fluoride Varnish fee you can alternatively double click the Fluoride Varnish service (once it’s been charted) and change “Band 1” to “Other”.

Creating a new Fluoride Varnish Service without a Band 1 charge

  1. Go to Configure, Services or click “+1” underneath the service list on the Patients Chart Tab to add a new service. Log in as a higher security EXACT user if required

  2. Give the new service a unique name. Tip: Name it similarly to the existing Fluoride Varnish code to keep them both close together in the service list.

  3. Choose “Fluoride Varnish” from the FP17W Clinical Dataset drop down list

  4. Now add the new service to the required service categories by clicking the add service category button, Left click/highlight the category and click “ok” to add each one.

  5. Select “None” for the DMF category then click “ok” to save the service

  6. Use this new service for under 25 & Over 60 patients that have a risk of decay. As the default NHS band for newly added services is set to “other”, the Band 1 charge will not be applied.

Example below using an over 60 patient with the new service FLUOR-EXEMPT along with an EXAM.
1 UDA is claimed, the EXAM & Fluoride Varnish datasets are picked up but no patient charge is generated.
