The EXDOC module is an optional document management module for EXACT Dental. EXDOC manages both incoming and outgoing documents in the ‘Contacts’ tab of the Patient File. The information provided here on EXDOC is in addition to the ‘Contact’ tab information provided in the Patient File documentation.

The ‘Contacts’ tab stores contacts with or on behalf of a patient. ‘Contacts’ can take the form of letters sent and received, phone calls made, and/or emails. Each time a contact is generated within EXACT, an entry will appear in the patient’s ‘Contacts’ tab.

The EXDOC module provides the following enhancements:

  • The ability to detail Phone conversations in the ‘Contacts’ tab with extensive notes regarding what discussed. If EXDOC is not enabled, short notes can still be entered as part of the description.

  • Letters sent to patients are automatically stored in the ‘Contacts’ tab and can be to view/edited.

  • Documents received can be scanned or imported and are able to be viewed in the ‘Contacts’ tab.

In addition to the convenience of having all patient documentation readily available from a single access point within the program, EXDOC allows a Facility to be as near to ‘paperless’ as possible, further enhancing efficiency.

For additional functionality, EXDOCe (which requires EXDOC) is an additional Email and SMS Text messaging module (described in the EXDOCdocumentation).

Enhancements to the Contacts Tab

 

Additional Buttons

EXDOC adds several buttons to the ‘Contacts’ tab as shown below:

These extra buttons have the following purposes:

 

Allows an existing document to be imported.

 

Allows a source input device to be selected, such as a webcam or scanner.

 

Once a device has been selected, opens the dialog for using the device to add a document or file.


Once a document or file has been added, the

button displays information about and the

button opens it for viewing.

To View a Document or File:

  1. Open a patient file using the normal method and click on the ‘Contacts’ tab.

  2. Double-click on the document or file to view it, or highlight it and click the

    button.

  3. This will open the document using the appropriate software package:

     


Additional Phone Contact Details

Patient Phone ‘Contacts’ can be created directly from the patient file by clicking on the ‘Call this Patient’ button as shown below on the Patient Tool Bar. A phone contact can also be created wherever the telephone symbol is visible, e.g. in the ‘Cancels’ tab of the Appointment book.

When EXDOC is installed, an additional ‘Contact Notes’ field is available when recording phone contact, to make detailed notes on the subject discussed:
