Instant Messenger

 

Messages that arrive will show in the conversation area. Replies are typed in the box below and sent by hitting the Send button. You can see who the message will be sent to by looking at the To line above. 

All the previous features of instant messaging are supported,including panic messages, quicknotes, as well as sounds and minimise on message receipt. 

In addition the following new feature are supported

Conversation view

Messages you receive in a conversation will be shown on the left, with who they are from and when they arrived shown underneath.  Messages you send are shown on the right with when they were sent, and who you sent them to shown underneath.

You can send messages to multiple people at once.

Replies to this conversation will automatically go to all people in the original message.  You can add new people to the conversation but not remove them. If you want to have a side conversation without everyone else being on copy start a new conversation thread.

Recipient List and Offline Users

The Recipients list shows by default all the user who are logged in at the moment.  Clicking on the Show Offline control will add in other staff members who are not in the practice at the moment. Online users are shown as light green, offline users are shown at the bottom of the list in dark green. 

Being able to send messages to offline users is useful for sending practice wide reminders, or specific messages for staff that work on different days to you. 

The ALL button will select everyone shown in the list. If Everyone is selected the button will show as 'None' and clicking it will clear any recipients that aren't locked into the current conversation.

Note: When you first look at the list of offline users you might see a list of staff who no longer work at the practice. Your practice manager can trim this list by going to the User Setting sscreen in the configure menu, and settting them as inactive,. This will remove them from the list. 

Message History 

Clicking on the history tab will show you all the messages that you have sent or received after this installing V13.5 or above of Exact. 

Double click on a messages see it in the conversation tab. From there you can review or continue the conversation. 

Message Formatting

Exact now supports a simple version of markdown formatting that allows you include Headings, colours, bold and italic fonts  There is quite a lot to understand with formatting so it has its own page along with examples

Note: One point of difference with new  messages is that a single carriage return does not have any effect in the markdown standard. So if you need to have a carriage return use two returns instead of just one. 

An example of a message you might like to format is the panic message. You can make this stand out from other messages by using a large coloured heading to get peoples attention and even picture.

Other Changes

With the new Instant message message window you can now minimise the window and come back to it later if you are half way through composing a message. 

The support team  at Software of Excellence now has the ability to send instant messages directly into Exact to certain users advising about important information or help.  This might be about service outages that affect multiple users, or help where a particular topic is causing confusion, or letting sites know about new features they have been waiting for.
