For dental teams not using the Patient Portal, we recommend you update the email template sent to patients as part of your Automated Appointment Reminders.
The updated template asks patients to send an email reply to the COVID-19 screening questions [e.g. "No to all questions" or "Yes + details"].
Without the Patient Portal, your team will need to enter the response to the screening question in their patient file manually. In the next section of this course, we will confirm how best to record the screening results.
Here is our recommendation for the template sent via email as part of your Automated Appointment Reminders.
How to add the Appointment Reminder with COVID Screening Questions email template

Have the word document the desktop of your PC
Open the word document and copy all of the content in the document (CTRL + A = select all and then CTRL+C = copy all or right-click and select copy)
In EXACT got to Configure >Email Templates
Click +1 to add a new template
Click the switch to HTML mode icon <>
Right-click and select paste
Click the design mode icon to see the content of the email
Add a Code for the template APPT REMINDER + CSQ
Add a Description that will appear as the subject line in the email “Getting ready for your next dental visit”
Delete the logo place-holder (highlight and then backspace)
Insert with your logo using the Insert Image icon
Select OK to save the new template
Next Step: Update your Automated Reminder Settings
Open the Automated Appointment Reminder Wizard from the Configure Menu
Click next until you open the Automated Appointment Reminders and Replies window
Change the email template to your new template called APPT REMINDER+CSQ
Please note:
SMS stands for Short Message Service. A message that contains 160 characters is charged as 1 SMS message. Because each SMS is charged depending on the size of the message we do not recommend adding the COVID-19 screening questions to your SMS reminder templates.
