Purpose

NHS Alert Manager

The NHS Alert Manager provides a means for practices to setup alerts on NHS policy or service breaches, and to track the data around practice conformance.

28 Day Re-attendance Alert

The purpose of this specific alert within the Alert Manager is to warn Providers when they are imminently creating a COT within 28 days of an initial COT (28 days is the default period), or within X days of an initial COT, where X is configurable from 1-99 days.

EXACT also reports on practice conformance to the re-attendance configuration (Re-attendance Report) and provides a means for Providers to record justification Notes for cases where they necessarily breach the Re-attendance period (Alert Notes).

NOTE: Urgent treatment is not considered for re-attendance purposes. For example, urgent treatment for a patient has been TCed and Transmitted to the board on 1 December, and on 15 December a new NHS CoT is created for that patient- in this case the 28 Day Re-Attendance Alert does not display to the Provider creating the CoT.

Dental Assurance Framework (DAF) Alerting

The trigger conditions for NHS DAF Alerting are based on NHS requirement specifications approved by the NHS.

In response to a DAF trigger condition a configurable message (unique to to each KPI) displays as a warning. The user who triggered the alert is able to add supporting notes/evidence as to why the action is occurring. The DAF KPI breach action is logged in the database along with the user's supporting notes.

NHS Practices using EXACT can optionally configure EXACT to

  • Report on their DAF KPIs in order to be responsive to their continuous performance.
  • Collate evidence of practice performance against KPIs
  • Alert Providers to any possible actions that could contribute to these KPIs.

Update to EXACT v12.3 or later

Thes DAF alerts are activated by default on upgrade to v12.3 but the Alert Notes Required field must be manually checked for a practice.

Benefits

General

  • Support for verifying BSA claim data, and monitoring ongoing KPI performance.
  • Allows a practice to demonstrate proactive action in order to prevent or justify future KPI breaches.

Dental Assurance Framework (DAF)

NHS Practices using EXACT can optionally configure EXACT to

  • Report on their DAF KPIs in order to be responsive to their continuous performance (the NHS DAF KPI Report is available through MyPractice Cloud).
  • Collate evidence of practice performance against KPIs.
  • KPI-related actions are logged and auditable.
  • Associated notes are shown on the NHS DAF Alert Report.
  • EXACT alerts Providers to any possible actions that could contribute to these KPIs.
  • Default messages advise that the current Provider activity is being NHS DAF KPI monitored.
  • Messages instruct the Provider to input supporting notes or evidence.


Requirements

NHS Alert Manager requirements

  • The practice must be a registered NHS contract, using Banding.
  • EXACT v11.10 or later.
  • Alerts apply for NHS COT creation only; not for other Payor/Private COTs.
  • Configuration requires Administrator permissions.
  • The NHS Alert Manager must be enabled as a feature for the practice.
  • Once enabled for the practice it is by default available to Administrators, but must be enabled in security settings for other users.

Re-attendance Alerts requirements

  • In addition to the above requirements, for the Re-attendance alert, Providers require security permissions to be alerted, to Add, Edit and Delete Alert Notes and to process Resubmissions.

Dental Assurance Framework (DAF) Alerts

  • NHS DAF Alerting is only available for “O4C” countries: England, Wales, Isle of Man.
  • The NHS DAF warnings must be enabled and appropriate warnings switched on for the practice.
  • The NHS DAF KPI Report is available through MyPractice Cloud (MPC), not through standard EXACT reporting.
