Checklist for choosing a Hardware Supplier
Henry Schein One is committed to assisting you and your hardware vendors in the installation of your hardware. Please contact your Regional Business Manager if you need any assistance.
As you will be relying on the computerised dental system to run your business, it pays to strategize how to maximize uptime and minimize downtime. One of the first steps in this strategy is to choose your hardware supplier very carefully.
| Key points to consider before contracting a hardware supplier: |
Is there a service contract by means of which to correct any problems that may arise?
Should the system fail, what is the response time for an engineer to arrive on site?
Once the supplier has diagnosed where the fault lies, will they get it back up and running or just supply the parts?
If there is a problem with the operating system or if configuration changes are needed within the network, will the supplier correct these, or only support the physical hardware on the individual PCs?
If a computer fails and is removed from site, will the supplier replace it with a temporary machine?
Consider what will happen to the contract in the second and subsequent years. A warranty replacement arrangement is not enough. The contract will need to be extendable.
Does the contract warrant that the supplier will continue to support the system functionality rather than just supporting the system components?
| Will the supplier check the integrity of your backups on a regular basis? |
Verification that your IT infrastructure conforms to at least the minimum requirements described in this document:
Please pass this document on to your hardware supplier and request that they sign and return The Sign Off Page (see "Dental practice owner and IT hardware supplier Sign Off" on page ) to Henry Schein One before your OASIS software installation date.

SSDs (Solid State Drives)
What is SSD?
SSD: Solid State Drive
HDD: Hard Disk Drive.
SSDs are faster than HDDs. They use flash memory to store data, which provides better performance than HDDs.
SSDs are more reliable than HDDs. The SSD has no moving parts whereas a HDD's moving parts and magnetic platters are prone to wear down and fail with prolonged usage.
SSDs are now recommended for OASiS:
- SSD for the system drive.
- SSD for combined system + data drive.
- Where data is written to a separate volume, a SSD is also recommended for the separate data drive.
Possibility of Operating System (OS) and database on a single SSD:
Considering the typical sizes involved for our databases, and considering the characteristics of modern SSDs, there is little benefit in having the OS and database on separate drives. Any SSD larger than 200 GB will likely suffice in containing the entire OS and database.
RAID
What is RAID?
RAID: Redundant Array of Independent Disks
Multiple disks are physically linked together to form a single logical, large capacity storage device (array), and this array is managed by a controller. When these multiple disks are accessed in parallel the system achieves greater throughput (better performance) than with a single disk.
Having redundant data on multiple disks allows greater fault tolerance than with a single disk (disk errors are managed and have less impact on system functionality).
RAID has such advantages over stand-alone disk storage devices that the RAID capability is being built into modern operating systems in anticipation of a lot more RAID uptake.
Why RAID for OASiS?
Computerised systems need to maximise their disk performance and guard their data integrity. With OASiS this is especially important given OASiS' live customer-facing functionality and the sensitivity of the medical data stored on its disks. RAID has long been known as an effective technology for increasing the performance and reliability of data storage, but until recently it hasn't been a ubiquitous solution in small to mid-sized businesses.
This is changing...
- Disk prices continue to drop,
- SSD is becoming the norm, and SSD prices are no longer way greater than HDD,
- RAID is increasingly integrated by default into operating systems.
So there is now little reason NOT TO use RAID in OASiS dental practices.
RAID recommendations
RAID 1 is minimum.
This implies that 2 x SSDs are mirrored.
If one goes down, the other will continue to serve up the data.
There continues to be a slight risk is that if one disk gets corrupted, the corruption may propagate to the second drive, which is why we recommend RAID 5...
RAID 5 is our gold standard.
This requires at least 3 x SSDs that are striped with parity.
It allows for one disk to fail and the other 2 will continue to provide service.
The parity ensures that corruption is detected and dealt with.
What provides this RAID?
Hardware:
If the server hardware already includes a RAID controller, use it.
Software:
In the case that there is no physical RAID controller, request that the IT staff set up Windows Storage Spaces.
Storage Spaces is a technology in Windows and Windows Server that enables you to virtualize storage by grouping industry-standard disks into storage pools, and then creating virtual disks called storage spaces from the available capacity in the storage pools.

Printers
See also: Adding a printer {*}{_}http://portal.softwareofexcellence.com/video/adding-printer_*
Points to note on Printers:
- The dental practice is responsible for ensuring that the latest drivers are installed for the printer/s.
- Printer drivers need to be installed on all workstations that will need to print.
- If all printers are already configured to work within Windows, the printing setup will take less time during the OASIS installation.
- Generally, it is not required that the network printer is 'mapped' to a local LPT port and it is not recommended.
- The printers spooling type should be set to RAW.
- If the same printer is to be used for both A4 and A5 printing, multiple printers will need to be configured, one for A4 and one for A5. The printers should be shared and clearly labelled so as to easily identify them, e.g. HP_A4 and HP_A5.
Recommended Card printer settings
From our experience, we have seen that card printers require the following settings:
- Paper Settings - Landscape
- Paper size - Label 2.25 - 3.00
- Copy Count - 1
- Graphic Resolution - 200 DPI
- Media - 3.5 ips
- Paper output - Cutter Disabled
- Print Density - 11
- Metallic spooling - ON
Sample compatible printers and related devices
The following recommendations are only a selection of compatible devices. Due to the frequent market changes and model number changes the devices listed may no longer be available. Please refer to Henry Schein One if you wish to purchase hardware that is not listed.
(While Lexmark and Canon printers work within OASIS it has been seen that these are very slow across the network.)

A4 and A5 printing on one physical printer
If the same physical printer is to be used for both A4 and A5 printing, multiple printer instances will need to be configured, one for A4 and one for A5.
The printers should be shared and clearly labelled so as to easily identify them. e.g. HP_A4 and HP_A5.
System Configuration
Good practice:
The Operating System should be configured to allow the application to function and perform well.
Best practice is that the server name should not contain any spaces or start with a number (this is not be mandatory but it sometimes causes problems elsewhere). A good example of a server name is 'SERVER'.
When OASIS is installed on a Server, a share called OASIS must be created for the parent of the oasis\data folder.
Required:
- OASIS reads from, and writes to, a network share on the server, so it is required that the application has full read, write and change access to the OASIS share on the server.
- All network users must have read/write access to the share, and to their own local c:\oasis folder.
- Windows - latest Service Pack as recommended by Microsoft
- NTFS
- Client Usernames and Passwords configured in User Manager
Supported Operating Systems
The list below outlines the versions of operating systems that we support along with the recommended service pack and file system.
NOTE: No Home edition of any operating system is officially supported by Henry Schein One.

Windows 10
Windows 10 is officially supported from OASIS v11.10.
Virtual Machine (VM) guidelines
Virtual Machines (VMs) are not officially supported but they are likely to function if you follow these guidelines:
- The virtual machine itself AND the machine the VM runs on need to meet the required specifications.
- You need to ensure that memory swapping between multiple VMs does not occur (for example, don't have a physical machine with only 4GB memory run two VMs each assigned 3GB of memory)
- Even in the best circumstances you may notice slightly reduced OASIS performance on VMs.
Text entry - Unicode not supported
OASIS does not support Unicode text entry such as Chinese or Arabic characters.
Remote Access Software - Bomgar
Henry Schein One uses Bomgar software to support clients via their broadband Internet connections.
Bomgar software
Bomgar is a remote support solution that allows support technicians to remotely connect to end-user systems through firewalls from their computer or mobile devices. Bomgar users can conduct remote support sessions without passing session details through a third-party, keeping system and data access behind the customer's own firewall and security measures.
Bomgar is a web based application that requires no software installed at the client end.

See also: Bomgar ports and exceptions (on page )
Microsoft Remote Desktop
Use Microsoft Remote Desktop to connect remotely to practice computers in order to run OASIS from a remote location. This requires appropriate configuration.
Additional Software
Microsoft Office applications:
Although OASiS has its own Word Processor, we recommend the use of Microsoft Office 2003 or newer (including Office 2019) to view and create documents or to export reports and patient lists.
NOTE: OASiS does not support Office 365.
Anti-virus software:
Henry Schein One strongly recommends virus protection software to protect your system from the multitude of viruses on the Internet.
Firewall:
You should ensure that if you are using broadband you have a firewall installed. Your hardware supplier can recommend which system should be employed to secure and protect your system.
IMPORTANT: Henry Schein One cannot be held responsible for viruses on client systems or for data being lost due to malicious attacks from the Internet.
OASiS backups
Backups are an extremely important and integral part of any computerised system. It is essential that a practice have a practical and effective backup strategy.
Henry Schein One recommends that this strategy includes "off-site" backups (tapes, DVDs, USB drives). Please be aware that Henry Schein One cannot check backups or restore data from all backup devices.
If you choose to back up to tape or cartridge, Henry Schein One may not have a drive capable of reading these devices.
NOTE: It is the responsibility of the practice to configure, maintain and test a backup strategy. Your OASiS installer will assist with the setup of a backup process. This will have to be in consultation with your hardware supplier as the backup process should be scheduled using the Windows Scheduler. Henry Schein One cannot be held responsible for any negligence on the part of the practice.
Database Verification
OASiS primarily uses a Mimer SQL database to store OASiS database records. This database should be checked and verified on a daily basis to ensure there are no physical or logical problems with the database tables. The check/verification process also includes house-keeping to ensure optimal performance. Your OASiS installer will have created the verification process on your database server and this process needs to be either incorporated into the Windows Scheduler on your server or added to your desktop as a daily process icon. The verification process is called "verifyfiles.bat". If you choose to run MSSQL, you will need to have your database administrator confirm that the MSSQL database is optimized in accordance with MSSQL database administration practices and that adequate backups are being made.
What to Back up?
It is essential that you back up the following files and folders (including all subfolders) to enable us to get your OASiS Practice Management Software up and running quickly after a system failure.
- \OASIS (except any "dbf" files in the "data" folder)
The backup of any other files or folders is at the discretion of the practice, although it is highly recommended that you backup any folders in which you store data for other applications such as Examine Pro, X-ray software (images), Microsoft Word and Excel.
We recommend a two-week rotation of backup media. This means if the practice has a five-day working week then ten backup media are required. For a practice working a six-day week then twelve backup media are required. In addition to this it is recommended that you consider a monthly backup rotating over three months – an additional three backup media. Backup media must be formatted before use, & checked on a regular basis in order to ensure they are:
- In operational order
- Backing up the relevant data
- Fully restorable
More information about backup strategies can be obtained from your hardware supplier.
The responsibility of ensuring that backup media are regularly checked and operational is NOT that of Henry Schein One.
OASiS Network Backups
We recommend you perform a network backup on a regular basis. This will take a copy of the data and copy to another computer for extra redundancy. This type of backup can be configured by your OASiS installer at the time of installation. You will need to have your hardware supplier share a drive on a client workstation to facilitate this type of backup.
Wide Area Networks
WAN configurations are only supported in the following environments:
- Microsoft Terminal Services
OASiS on Terminal Services
This section outlines the setup of OASiS in a Terminal Services environment.
Introduction
Under Terminal Services you have multiple users using the one OASiS executable. This means you must have a separate OASiS "ini" for each Terminal Services user. If you don't have separate "ini" files, you will end up with "lost" records as multiple Users try to write their own patients back to the single "ini" file. OASiS stops users logging into the program more than once. OASiS must be installed on the terminal server using administrative rights.
Setup
To set up multiple ini files, copy "OASIS.ini" to "user01.ini" and then edit the file and change the user name and number accordingly. Repeat this for all additional users "User02.ini", "User03.ini" etc. You could use names e.g. Ringwood.ini, Mitcham.ini etc.
To get OASiS to use the unique ini file, set up a shortcut for the user as follows:
C:\OASIS\OASIS.exe c:\OASIS\User01.ini
This will cause the executable to load the settings in the declared ini file.
Each remote branch (or user) should have their own Terminal Services logon. E.G. Branch 1 should logon as BRANCH01, Branch 2 should logon as BRANCH02 etc. The Terminal Server should have users set up according to the structure you want.
On the Remote Desktop Connection General tab, enter the IP address of the Terminal Server and then enter your username and password. On the Local Resources tab remove all ticks except for Local Printing (if you want to print locally) and Ports (if using Hicaps). In the Programs tab, you could enter the command line for the specific user so that OASiS auto loads whenever they log on. This would be entered as "c:\OASIS\OASIS.exe c:\OASIS\user01.ini" with a path of "c:\OASIS".
If you want to use Microsoft Word integration with OASiS running on Terminal Services then you need to create individual directories for each user. E.G. c:\OASIS\wp\user01, c:\OASIS\wp\user02 etc. You will then need to map a home directory for each user which points to the user's own directory with the same drive letter E.G. "I:". This is to allow OASiS to write the merge file used when linking to Word to the same location for all users (but in reality it is a different physical location). In OASiS, you would then need to set each ini file to point to I:\merge.txt, I:\recall.txt, I:\apps.txt. NOTE: you will also need to replicate this for any local LAN users as the templates will all have to point to the same location.
Printing works as follows: If you need to print to a local (remote) printer, then you will need to have the printer driver for the remote printer installed on the Terminal Server. When installing the printer driver on the Terminal Server, it must be the same driver as is installed on the remote PC. You cannot use an OEM driver on the remote PC and a downloaded driver on the host. The drivers must be identical. When you log on, the Terminal Server will "map" to the default printer on the remote workstation if it can find a driver for it. It should make this printer the default in the terminal services session. This means that within OASiS, you can set the Default Printer=YES in the ini file to use the default printer. This overrides any GDI device names or aliases within OASiS.
NOTE: Some USB printers will not print from a Terminal Services session.
Specific Setup Instructions
On the Terminal Server
Our example below is based on the fact that the OASiS "server" is acting as a terminal server. Some sites have a "file server" and a "terminal server" as separate PCs. If this is the case then you will need to set up the unique user directory structure on the server and point the terminal server users to that unique location (see the section on User Profile drive mapping).
Create Users that represent your structure. The following example is for two remote locations connecting to the Terminal Server. Ringwood and Mitcham. At each location there are two computers so we will have RINGWOOD1, RINGWOOD2, MITCHAM1 and MITCHAM2. You can use any names you like as long as they are representative of your structure. The example site also has 6 PCs at the main site (LOCAL1 to LOCAL6). The total number of PCs is 10. OASiS has been registered for 10 users and each OASiS session must have a unique user number (and user name).
In addition, we are integrating OASiS with Word Processing. This adds a requirement for each user – both Terminal Services and local LAN – to have their own unique directory for OASiS to write the merge files. On the Terminal Server (or main server if you have both) the following directory structure is required.
As can be seen, there is a separate directory for each OASiS user. Depending on what type of document is being created within OASiS, the following three files may be created – merge.txt/csv, recall.txt/csv or apps.txt/csv. These files are unique to the OASiS session and must be written to the session's unique location on the server – typically into the relevant directory as shown above. Details of how to set up a mapping for each session follows.
In addition to a separate directory for each user / session you must have a separate "ini" file. Each ini file must have a unique user number and name within the allowable OASiS license. In our example, it would be User01 through to User10.
Hardware Configuration
This section has hardware requirements and recommendations.
Network speed
Recommended network speed of 1 Gigabits per second:
We recommend that your network runs at 1 Gigabits per second speed.
If any network component cannot handle 1 Gigabits per second throughput, it will reduce network speed for associated devices and may cause performance problems for users.
If your network is slower than 1Gb:
On workstations where clients are doing less resource intensive tasks such as charting, slower network speeds should not see a performance hit. However performance problems will be noticeable when attempting more intensive operations such as generating reports.
General guide for acceptable performance:
Basic usage such as charting requires at least 100 Megabits per second network speeds.
Viewing images/xrays requires at least 200 Megabits per second network speeds.
Generating reports requires 1 Gigabits per second network speeds.
Recommended Network Configuration
This is the recommended network configuration, including internal IP ranges for devices.
The network should preferably use at least CAT5 cabling, which runs at up to 100Mbps, and we recommend the more recent CAT5e (enhanced), which can run at 1000Mbps.
IMPORTANT: Wireless networks and Virtual Private Networks (VPNs) are not approved or supported.
Broadband
Besides your normal operations, the broadband connection is also for supporting your OASIS system by means of Bomgar software.
See also: Remote Access Software (see "Remote Access Software - Bomgar ")
Bomgar ports and exceptions
To enable us to connect to your system using Bomgar the following ports need to be opened and the following exceptions need to be added to your firewall / antivirus.
Ports:
80
443
8200
Exceptions:
bomgar-scc-{uid}.exe
bomgar-scc.exe
bomgar-pac-{uid}.exe
bomgar-pac.exe
Digital Imaging
With our new EXAMINE Pro we can now support many Digital Imaging packages.
Please contact your Regional Business manager or the Main Office for more information on supported Imaging packages.
Specific hardware requirements for EXAMINE Pro
Please note these specific requirements if you intend installing EXAMINE Pro:
- Windows 2000 is not supported.
- Server RAM Requirement is minimum of 4Gb.
- Workstation RAM Requirement is minimum of 4Gb.
- If you are purchasing the XIOS Sensor or any other Xray equipment that uses the Sirona database the server should be installed with a minimum of 4 Gb RAM.
- If you are using Trophy or Kodak branded equipment, there are a number of versions of the Kodak Imaging software shipped with these products. We have tested a number of these with EXAMINE pro and we currently support the following versions:
V6.1.7.0, V6.0.5.5, V6.3.7, V6.4.4.0, V6.8.2.0A, V6.8.4.1A, V6.8.6.0, V6.10.7.3A, V6.11.6.2A, V6.12.5.2B, V6.12.11.0A, V6.12.15.0A.
If you are unsure about what version you have or require for your equipment please discuss with your Sales contact.
- Ideally, all X-ray/Imaging equipment should be configured and working with the manufacturer's software before Examine Pro is installed.
- Digital Images can take significant storage space; we recommend that you purchase the largest drive available from your supplier to ensure you have enough space.
- The intensive graphic usage may cause performance issues, in which case it will help to install a video card that supports hardware acceleration.
- EXAMINE Pro digital imaging software supports 64 bit operating systems, however you will need to check with your digital imaging hardware supplier whether your hardware has the necessary drivers for 64 bit operating systems.
Digital imaging storage requirements:
- Hard drive space for imaging should be 160GB or more. This will depend on the quantity of Images the practice will be taking.
- A suitable backup device will be needed. See Backups (see "OASIS network backups" on page ).
Add-on Devices
Please ensure that any other devices you add to your system are on the Microsoft Windows operating system and hardware compatibility lists, which can be found at https://www.microsoft.com/en-au/windows/windows-10-specifications
Example of incompatible devices:
Some older technology ISA capture cards such as the older Trophy\Kodak capture cards are incompatible with later Windows versions.
Installation Considerations
It is really important that all of your hardware is installed and configured by the time agreed with Henry Schein One.
This will ensure that your installation runs smoothly and that the training starts on time.
Failure to do so could result in your installation and training being rescheduled and associated costs could then be incurred by the practice.
Power requirements
Sufficient power should be available and in close proximity to each workstation and the server. Typically each workstation requires three or four power sockets, which should be protected by at least a surge protector.
It is recommended that at least the server is protected by an Uninterruptable Power Supply (UPS). This will protect the system in the event of a spike in the power or a total power failure giving you time to safely shutdown, helping prevent data corruption.
Devices that will need power:
- Computer
- Monitor
- Printer
- Scanner
- Router
- Network Switches
- Intra-Oral Camera
- Jet Direct Print Server
- All Xray Equipment
