Exact 25.119 - 02/07/2025

Features

  • IMPROVEMENT A prompt was added to the payor adjustment workflow asking users whether they wish to automatically allocate the adjustment. Selecting 'Yes' will allocate the adjustment to the oldest open credit amount. Selecting 'No' will leave the adjustment unallocated.

  • SECURITY Cloud authentication has now been enabled by default. All existing users that don’t already have it enabled will be prompted to create a new, secure password when logging in to EXACT for the first time after a practice has upgraded to this version.

  • IMPROVEMENT A provider column was added to the Debtors List report to highlight accounts where there is a mixed provider balance. The ‘Home phone’ and ‘Work phone’ columns were replaced by a ‘Mobile column’ to make space for the new Provider column.

  • Issue resolved Fix for an issue where emailing prescriptions or dispensary items wasn’t updating the prescription record.

  • Issue resolved Fix for an issue where the processing of incoming emails would error if the emails contained attachments with names that matched reserved names in Windows.

    • On the Select Doctor screen, type now defaults to ‘Doctor’

  • IMPROVEMENT NHS Northern Ireland: Updated the text on the warning message that appears when either H&C or CHI numbers are missing for a patient at TC time to reflect that this is now mandatory.

  • IMPROVEMENT Updated the text of the recall monthly view filter from ‘Who are due for one of these recall types’ to 'For one of these recall types’ for clarity.

  • IMPROVEMENT NHS Northern Ireland: The warning message that appears when either H&C or CHI numbers are missing for a patient at TC time is now mandatory. Users cannot process the claim until one of these details has been entered for the patient.

  • IMPROVEMENT We now display a warning dialog when a user ticks the checkbox to inactivate a provider. The dialog encourages the user to try and use the new ‘Provider is Leaving’ feature. Note this is tied to a new setting provider.inactive checkbox warning.enabled, which is enabled by default.

  • ISSUE RESOLVED Added country context to the remote support launcher, ensuring the region is set correctly at launch. Also removed the auto launch when only one support agent is available in the region.

  • Issue resolved Patient List: Fix for an issue when using the birthday query where if the From Date (Day/Month) was greater than the To Date (Day/Month) some patients who met the criteria would be excluded from the list.

  • Issue resolved Fix for an issue where completed treatments that were voided were being incorrectly moved to the Misc tab.

  • UPDATE NHS O4C: Updated the New Style NHS Estimate (soestd1.424). The ‘Contractor's Name’ field has been changed to Clinician and the treatment provider has been added to the end of each treatment line.

  • IMPROVEMENT The Laboratory pop-up has been simplified to save time. The Expected Date and Cost fields have been removed, and Laboratory Code is now a simple drop-down. The pop-up window will not show if:

    • the Specialist list contains no labs

    • the Specialist list contains only one lab – this will be used as the default lab

    • the user has enabled the new ‘Hide Labwork Popup’ setting in User Settings

  • Issue resolved Image Acquisition Scanning App: Fix for an issue where any characters after a space in a patient's or specialist’s name weren't being displayed in the Contacts tab, i.e. ‘Sarah A’ and ‘Sarah B’ would both show as ‘Sarah’.

  • IMPROVEMENT NHS England and Wales: New checks have been added at TC time for England and Wales that will warn if banded treatments (bands 1, 2, 3, or 4) are present with non-banded items such as: issue prescription, repair of denture, repair of bridge, arrest of bleeding, or removal of sutures. The checks are warnings and won’t block the user from continuing.
    For Wales: if Issue of Prescription is the only non-banded item with a banded item, a warning will only pop up if items with the following clinical dataset categories are missing:

    • Antibiotics

    • Oral Hygiene Mouthwash

    • Oral Medicine Mouthwash/Sprays

    • Analgesics

    • Antifungal/Antivirals

    • Anxiolysis

    • Artificial Saliva Products

    • Dietary Changes Agreed

  • IMPROVEMENT Improvements to the COT display on the booking window:

When enabled, the Close button on the Appointment Workflow window will be hidden and replaced by ‘Continue’ and 'Dismiss’ buttons. Clicking Continue will only action the data in the window after validation; clicking Dismiss will not action the data or carry out any validation.

  • PERFORMANCE The Delete Aged Data tool has been improved and searching for patients is now substantially faster for practices who have deleted a large number of old records.

  • IMPROVEMENT Updated the ·GAP AVAILABLE and ·GAP CONFIRMED SMS templates with new merge fields.

    • Hi [patient.firstname], an earlier [patient.shortnoticegap.dentisthygienist] appt on [patient.shortnoticegap] has become available. If this is convenient please reply 'book'. [practice.name]

    • Hi [patient.firstname], thanks for responding. Your [patient.shortnoticegap.dentist/hygienist] appointment has been moved forward to [patient.shortnoticegap]. See you then.

  • IMPROVEMENT Removed the option to include family member appointments when sending receipt confirmations.

  • NEW FEATURE Sending receipts via SMS has now been enabled for all practices.

  • IMPROVEMENT Short Notice List: SNL now allows booking an appointment with any available provider.

  • IMPROVEMENT The expected length value entered on the Appointment Workflow window will now be copied back to the appointment length field in the chart when the window is closed.

  • Issue resolved Image Acquisition Scanning App: The app now uses local time (not UTC) to store files, so that there is no confusion about where the files are stored on month boundaries in southern hemisphere regions when the time zones don’t match.

  • Issue resolved Fix for an issue where the ‘Show the first available appointment time' user setting couldn’t be toggled for individual users.

  • Issue resolved NHS Scotland: Fix for an issue where a continued course of treatment didn’t respect the acceptance date of the original COT, so the Under 26 exemption didn’t clear the patient charge on a continuation case if the patient turned 26 between parts 1 and 2.

  • Issue resolved Fix for an issue where EXACT would sometimes crash when arriving patients.

  • ISSUE RESOLVED NHS: Fix for an issue where the GP17PR signee wasn’t populated in the TC exemption window.

  • ISSUE RESOLVED Fix for an issue where some practices where experiencing issues when launching Presentation Manager 2. PM2 now uses Aspose version 23.8 instead of 23.9 to avoid problems with the licensing.

  • IMPROVEMENT Made a change that allows users to access EXACT Hub without filling in their contacts details.

  • IMPROVEMENT Made several improvements to the scanner app:

    • When the app is launched, if no devices have been previously selected, a scanner will auto-populate the ‘selected scanner’ field if there is only one scanner available. If there are multiple available, the drop-down will pop open for display.

    • If the scanner app doesn’t launch, the error message below will now show instead of EXACT automatically falling back to the old scanning functionality.

  • ISSUE resolved Fix for an issue in the Quickbook services list where attempting to remove multiple services would only remove one. Now, all services that are deselected from the Edit window will be removed from the list when the Save and Close button is clicked.

  • Issue resolved Pearl AI: Added the ability to turn off the QUIC download protocol for practices with poor internet connections. Failures of this protocol could cause The Pearl AI tab not to load completely.

  • Issue resolved Clinipad: Fix for an issue where an inactive doctor assigned to a patient was sent to Clinipad, prepopulating the doctor fields in patient forms. Fields are now left blank if a patient’s doctor is inactive.

  • ISSUE RESOLVED Fix for an issue where users were able to edit patient files to have blank patient codes. Users are now required to enter a first or family name in order to successfully save their changes.

  • ISSUE RESOLVED Fix for an issue where scanned documents were being saved to the wrong folder because the date was based on UTC, without accounting for time zone differences. The document save date is now based on the local system date and time.

  • ISSUE RESOLVED Fix for an issue that was preventing users from being able to click the buttons on EXACT Hub notifications when viewing these on smaller screen resolutions.

  • ISSUE RESOLVED Fix for an issue where notifications were misaligned when the appointment book was displayed as a sidebar.

  • ISSUE RESOLVED NHS: Fix for an issue where incomplete services were being counted in DMF scores.

  • IMPROVEMENT Added an Edit button to the Appointment Information window so that users can change an appointment’s cancellation reason.

  • IMPROVEMENT In the Short Notice List header, next to the Notes icon, the text ‘Edit’ has been added to make it more obvious that the notes in that column are editable.

  • IMPROVEMENT SMS Receipts: Added a check to disable SMS receipts if SMS has not been set up. Also disabled email receipts if email is not set up or if the practice doesn’t have a practice email address.

  • IMPROVEMENT NZ: Updated the NZ SMS unit estimation to exclude the standard disclosure statement.

  • IMPROVEMENT Image Acquisition Scanning App: Made improvements for when no scanners are found. The app now greys out the scan button, hides the settings panel, and shows a new, informative error message. Additionally, a refresh button has been added next to the scanner select option.

  • IMPROVEMENT When viewing the thumbnails in the Images tab, the user can now reupload an image to Pearl AI by selecting this option from the right-click context menu. The third-party link and filename can now also be viewed in the tool tip.

  • new Feature NHS Scotland: Added a new checkbox to the Edit Service item window: ‘NHS DMF restoration or extraction’. The checkbox is disabled for ‘None’ or ‘Full Assessment’ chart graphics. When the checkbox is ticked, and the DMF tab is enabled on the TC window, the service will contribute to the DMF calculation rules.

  • IMPROVEMENT Image Acquisition Scanning App: Added multi-page functionality for flatbed scanners.

  • IMPROVEMENT Notifications now appear in EXACT regardless of whether the EXACT Hub icon or the workspace toolbar are displayed.

  • IMPROVEMENT Updated the links to the Gmail & Microsoft email configuration help articles so that they point to the correct articles. Also fixed an issue with the ‘Sign in with Google’ button so that it displays correctly on smaller resolutions.

  • IMPROVEMENT Added a new security setting (disabled by default) that enables users to cancel appointments that have been marked as F.T.A. (Failed To Attend) by navigating to File > Appointments > Mark FTA Appointments as Cancelled. Alternatively, users can filter appointments by the ‘Failed’ appointment status in the appointment book’s Cancels tab and click the new Cancel button to cancel any F.T.A. appointment.

  • IMPROVEMENT Both appointment and patient notes are now displayed on the Appointment Information screen.

  • New Feature Image Acquisition Scanning App: Added a prompt which displays if EXACT has trouble connecting to the practice scanner. It offers practices the option to immediately try a new scanning application, with different and more modern connection options. Practices can also turn on and off access to the new scanning app via a checkbox on the Practice Settings screen.
