  • Issue resolved Pearl AI: Added the ability to turn off the QUIC download protocol for practices with poor internet connections. Failures of this protocol could cause The Pearl AI tab not to load completely.

  • IMPROVEMENT Scanner App: Scanner App now has clearer messaging when a file fails to send to EXACT. A warning message is displayed that instructs the user how to manually add the file, and a file explorer window is opened with the correct file highlighted.

  • IMPROVEMENT A confirmation message was added to show when an email is successfully verified.

  • IMPROVEMENT Image Acquisition Scanning App: Improvement to the refresh functionality when sending scanned documents to EXACT so that documents show up in the Contacts tab more quickly.

  • IMPROVEMENT Campaign Plus: When creating or editing a campaign, clicking the ‘Cancel’ button will now prompt the user to save their changes.

  • Issue resolved Clinipad: Fix for an issue where an inactive doctor assigned to a patient was sent to Clinipad, prepopulating the doctor fields in patient forms. Fields are now left blank if a patient’s doctor is inactive.

  • ISSUE RESOLVED Fix for an issue where users were able to edit patient files to have blank patient codes. Users are now required to enter a first or family name in order to successfully save their changes.

  • ISSUE RESOLVED Fix for an issue where scanned documents were being saved to the wrong folder because the date was based on UTC, without accounting for time zone differences. The document save date is now based on the local system date and time.

  • ISSUE RESOLVED Fix for an issue that was preventing users from being able to click the buttons on EXACT Hub notifications when viewing these on smaller screen resolutions.

  • ISSUE RESOLVED Fix for an issue where notifications were misaligned when the appointment book was displayed as a sidebar.

  • IMPROVEMENT Added an Edit button to the Appointment Information window so that users can change an appointment’s cancellation reason.

  • IMPROVEMENT In the Short Notice List header, next to the Notes icon, the text ‘Edit’ has been added to make it more obvious that the notes in that column are editable.

  • IMPROVEMENT SMS Receipts: Added a check to disable SMS receipts if SMS has not been set up. Also disabled email receipts if email is not set up or if the practice doesn’t have a practice email address.

  • IMPROVEMENT NZ: Updated the NZ SMS unit estimation to exclude the standard disclosure statement.

  • IMPROVEMENT Image Acquisition Scanning App: Made improvements for when no scanners are found. The app now greys out the scan button, hides the settings panel, and shows a new, informative error message. Additionally, a refresh button has been added next to the scanner select option.

  • IMPROVEMENT When viewing the thumbnails in the Images tab, the user can now reupload an image to Pearl AI by selecting this option from the right-click context menu. The third-party link and filename can now also be viewed in the tool tip.

  • new Feature NHS Scotland: Added a new checkbox to the Edit Service item window: ‘NHS DMF restoration or extraction’. The checkbox is disabled for ‘None’ or ‘Full Assessment’ chart graphics. When the checkbox is ticked, and the DMF tab is enabled on the TC window, the service will contribute to the DMF calculation rules.

  • IMPROVEMENT Image Acquisition Scanning App: Added multi-page functionality for flatbed scanners.

  • IMPROVEMENT Notifications now appear in EXACT regardless of whether the EXACT Hub icon or the workspace toolbar are displayed.

  • IMPROVEMENT Updated the links to the Gmail & Microsoft email configuration help articles so that they point to the correct articles. Also fixed an issue with the ‘Sign in with Google’ button so that it displays correctly on smaller resolutions.

  • IMPROVEMENT Added a new security setting (disabled by default) that enables users to cancel appointments that have been marked as F.T.A. (Failed To Attend) by navigating to File > Appointments > Mark FTA Appointments as Cancelled. Alternatively, users can filter appointments by the ‘Failed’ appointment status in the appointment book’s Cancels tab and click the new Cancel button to cancel any F.T.A. appointment.

  • IMPROVEMENT Both appointment and patient notes are now displayed on the Appointment Information screen.

 

  • ISSUE RESOLVED Fix for an issue where the original, linked F.T.A. appointment was being deleted when the appointment was rebooked.

  • IMPROVEMENT The receipt printing configuration options were improved in user settings. Users can now select the delivery method and defaults with more granularity, and can set multiple delivery methods to be used by default.

  • IMPROVEMENT If a BPE for a patient is all X's, X will now appear as the highest BPE sextant score on the DMF tab for both English and Scottish sites.

  • IMPROVEMENT A refresh button was added to Standard Link v2 tabs.

  • Issue resolved Image Acquisition Scanning App: Fix for an issue where individual scanners were not retaining settings upon scanner source change.

  • NEW FEATURE Added the ability to send an SMS communication to new patients. One new email & one new SMS template were added to send to patients when their details are first entered into EXACT.

  • IMPROVEMENT When viewing the thumbnails in the Images tab, the user can now copy the image path to the clipboard by selecting this option from the right-click context menu.

  • IMPROVEMENT Pearl AI: The file upload status can now be checked in the image tooltip that appears when hovering over a thumbnail in the Images tab.

  • IMPROVEMENT Image Acquisition Scanning App: The app now displays the patient name or specialist code so that users can verify the patient/specialist the document will be saved against.

  • Issue resolved Email verification: Fixed bug where EXACT attempted to verify an email address that had been removed. Saving a blank email address in Contact details under User Settings will no longer trigger the verification prompt.

  • IMPROVEMENT Improvements to the Image Acquisition Scanning App:

    • The app no longer requires items to be previewed and then scanned to save.

    • A 200dpi option was added.

    • Settings are now hidden and only display when a new scanner is selected.

    • A unique icon was added for the tray and taskbar to distinguish it from EXACT.

    • Focus now moves automatically to the ‘title’ textbox when the app opens.

    • The app doesn’t allow ‘Send to Exact’ to be clicked until a scan has been completed.

    • More useful information was added to error messages.

  • IMPROVEMENT The wording on EXACT Hub notifications changed from 'Dismiss' to 'Not now' for clarity.

  • Issue resolved Fix for an issue where the Payor or Clinic colour displayed in the Appointment Search window was not being respected.

  • IMPROVEMENT The Fullscreen button on Standard Link V2 tabs was altered to restore the minimized full screen window if it exists.

  • New Feature Image Acquisition Scanning App: Added a prompt which displays if EXACT has trouble connecting to the practice scanner. It offers practices the option to immediately try a new scanning application, with different and more modern connection options. Practices can also turn on and off access to the new scanning app via a checkbox on the Practice Settings screen.

  • New Feature Available Contact Methods in the Short Notice List tab on the appointment book are now interactive. Practices can email, send SMS and access the Call Patient feature for each patient listed in the the Short Notice List tab.

  • IMPROVEMENT The word 'Description' was replaced with 'Subject' on all the screens relating to email to make it easier to understand what the field does.

  • Issue resolved NHS Scotland: Fixed an issue where the composite supplement warning incorrectly pops up for unsaved chart items at TC time.

    • Long email addresses will now display without being truncated.

    • The reset prompt will no longer display if the practice doesn’t have email enabled and the user will see an alert instead.

  • Issue resolved Fix for an issue with the Patient Portal reset merge where occupation and family members were being excluded from the merge. An issue with auditing family members was also fixed.

  • Issue resolved NHS Northern Island: Fix for an issue where appointments necessitated by trauma were resulting in all charted services covered by capitation incurring a fee. Now only services 0101, 0111 or 0121 covered by capitation will incur a fee.

  • Issue resolved Fix for an issue where EXACT would upgrade during working hours if the server couldn’t upgrade overnight.

  • new Feature Exact Notifications: Implemented a service which manages the receipt of Exact Hub notifications upon user log in. The service triggers after logging in or after unlocking EXACT.

  • IMPROVEMENT Added an "Only Creditors" checkbox to the Debtors List report selection screen. This option allows practices to easily identify all customers who are in credit.

  • IMPROVEMENT Marketing Manager: Reverted a change made in version 24.110 so that the title displays the campaign reason when editing existing campaigns.

  • IMPROVEMENT The Patients Appointment window now shows the puzzle icon in the first column if an appointment is in the Short Notice List. Additionally, the Appointment Information screen now states whether the appointment is in the Short Notice List.

  • UPDATE NHS Scotland Dental Reform Phase 2: For COT’s created from 1st August 2024, the NHS require additional information to be sent with claims.

    • If a A001 exam is charted for patient over the age of 18, the user must check the DMF tab on the TC dialog to ensure the correct data has been entered for:

      • No. of teeth requiring restoration or extraction

      • Total Teeth in Mouth

      • Highest BPE Score

    • If a A003 exam is charted, the user must enter an unscheduled care treatment reason on the Treatment Reason tab on the TC dialog.

    • Material information is now required on certain services. New services have been created in EXACT for this purpose.

    • Users will also be prompted to enter material information for crowns, inlays and veneers.

    • The NHS will be validating filling related claims more severely. EXACT will therefore display error messages to help correct any incorrect usage of filling services to help prevent rejections.

  • Issue Resolved NHS Scotland: Fix for an issue where a crash could occur when requesting prior approval if the patient had services that did not contain a payor code charted against them.

  • NEW FEATURE Change Username: A button was added to the Provider window to allow users to change a provider’s username by creating a new provider record in just a few steps. This feature handles the reassignment of appointments, patients, configuration and settings. It is best run when no other users are actively using EXACT and is therefore only visible to admin users.

  • IMPROVEMENT Improved ‘Was Not Brought’ for family appointments:

    • ‘Was Not Brought’ patients no longer appear in the arrivals window.

    • ‘Was Not Brought’ patients no longer appear in the departure workflow sidebar.

  • IMPROVEMENT Improved the email receipt feature:

    • The default template now uses the patient ‘title’, ‘first name’ & ‘last name’ merge fields in the salutation instead of the ‘as known as' merge field.

    • The receipt email now uses the template description as the email's subject line.

  • IMPROVEMENT NHS Scotland: Charted services that require a material will now display the material on the chart tooltip.

  • ISSUE RESOLVED NHS Scotland, Northern Ireland & Isle of Man: Fix for an issue where the Online NHS Fee scheduled event was causing issues when charting. This issue only affected practices that had a demo database without a practice ID on the same server as their main database.

  • ISSUE RESOLVED Fix for an issue where Standard Link tabs were not automatically added to the chart tab for all users after a practice subscribed to a product.

  • IMPROVEMENT NHS Scotland: Added a warning at TC if a user has charted a C012 or C013 filling service against the NHS rules.

  • IMPROVEMENT Password Reset: When updating their password, users are now encouraged to add an email address if they don’t have one, and to verify that address. This will allow them to use the password reset functionality on the login screen if they forget the new password.

  • IMPROVEMENT Password Reset: The password reset screen now has an option to show the password to help users correct any errors in their typed password.

Additionally, the ‘Manage Appointment Booking’ Services window can now be accessed from the ‘Appointment Book Setup’ window by clicking the spanner button.

      • If the user has an email address, the email will be sent without prompting the user​

      • If the patient doesn't have an email address, the user will be prompted to print instead​

    • If the patient doesn't have an email address or email isn't configured for the practice, the print option will be ticked instead​

    • The default email template has been beautified:

  • NEW FEATURE A new Quick Services configuration button was added to the ‘Edit Appointment’ window. From the ‘Manage Appointment Booking Service’ List window. Users can now:

  • IMPROVEMENT Both the Patient Schedule and the NHS Claimed Versus Disputed Report now include new patient UDAs in their calculations.

  • IMPROVEMENTImprovements to the Forgot Password feature:

    • Users who entered the practice email address, or an email address shared with another user ,as their contact email, cannot use the password reset functionality. Users should chose an email address that is personal to them as their contact email.

    • The password reset email is hidden from EXACT's Outbox and Sent tabs.

    • The password reset window displays a censored version of the destination email address to assist users who cannot remember the contact email that they entered.

 

  • IMPROVEMENT When refreshing a patient list, the existing patient list name is now used as the default list name.

  • NEW FEATURE Three new stock item buttons (Add, Edit and Remove) were added to the ‘Patient Payment’ window, so stock items can be managed from the payment window directly.

  • IMPROVEMENT The printing and emailing process in ‘Payment Confirmation’ was streamlined. A new, default Payment Confirmation email template has been added to EXACT, and the email option is now checked by default if a patient has an email address enabled. The template can be edited by going to Email Templates or configured using the application.payment confirmation.email template setting.

  • ISSUE RESOLVED NHS Scotland and Northern Ireland: Fix for an issue where the claim amount and open amount were not showing correctly in the List Claims and View Claim windows.

  • ISSUE RESOLVED Fix for an issue where users were able to customize the workspace bar without the proper permissions.

  • ISSUE RESOLVED AUS: An upgrade step was added to add the missing 723 and 724 ADA codes to the new zero tooth services setting, which was causing issues when attempting to claim for associated services.

  • ISSUE RESOLVED Fix for an issue in the patient Contacts tab where the email sent date would display the draft creation date instead of the date when the email was actually sent. Also fixed an issue where editing a draft email subject would not apply the new changes to the entry in the Contacts tab.

  • IMPROVEMENT PM2 now preserves the original file format when importing a document as a template, so DOCX templates no longer open in compatibility mode. ​Additionally, PM2 now allows access to the form controls section in the Developer tab. Older documents that always open in compatibility mode, such as the templates that ship with EXACT, offer access to a limited range of form controls. ​

    • Note: The Developer tab cannot be enabled from within PM2. It must be configured in a regular Word instance via Options > Customize Ribbon.

  • NEW FEATURE We have introduced a new feature that allows users to quickly identify if the patient search they are using will return the desired results. When a user first opens the Build New Search window, the Find Patients button will be replaced with a Preview Results button instead. When selecting Preview Results, EXACT will run the query and display the first 20 patients that meet the criteria. The query will only be saved when the user clicks either Save & Close, or Find Patients.

  • NEW FEATURE NZ: The Ministry of Health are now supporting claiming via email. To facilitate this, we’ve added a Claim & Send Email button to the OHSA payor window, which will generate the required email with claim attachments required by the MOH. The claim email will contain PDF files for the individual treatment report and the claim summary. If claims require approvals, and the approval documents are attached to the treatment plan, the claim email will additionally include an Approval PDF.

  • NEW FEATURE We have streamlined and simplified the workstation relicensing process. The Unlicensed Computer window, which pops up when a user tries to log in on an unlicensed machine when the practice has no unassigned licences available, has been redesigned and a new 'transfer a license' option has been added to it. This new option contains a list of currently licensed machines with the date they were last used; machines that have an EXACT instance running on them are excluded from the list. ​Using this new feature delicenses the selected machine, transfers the licence to the new machine, and then allows the user to log in to their newly-licensed machine. Unlike Licence Manager, which continues to be restricted to admins, use of this new feature is unrestricted.

The Task Manager window now only pops up on login if the user has tasks that are overdue or due today, and the icon counter only counts incomplete tasks that are overdue or due today.

    • The 'To Do' tab is now reserved for tasks that are overdue or due today; tasks that are due tomorrow or later have been separated out into a new 'Future Tasks' tab. Additionally, the 'Show Completed' checkbox has been removed and all completed tasks have been moved into a new 'Completed Tasks' tab.​

    • Tasks that are assigned to more than 2 users now show a hyperlink that can be hovered over or clicked on to display a complete list of task assignees.

    • When opened the Task Manager only shows the 100 most recent tasks in any list. If you have more tasks that you want to see you can tick the Show All option to load the rest. Depending on the number of tasks this may take some time.

  • IMPROVEMENT An improvement was made to the workstation update poller, which now employs side-by-side upgrade deployment. During a workstation installation, poller binaries are copied to a separate folder and the registry is updated to point to the new binaries before the service is restarted.

  • NEW FEATURE Added a rollback option to the 'Search and Change’ wizard. Performing any of the other operations in the wizard will create a rollback file that can subsequently be used to revert the changes made.

  • IMPROVEMENT The Arrivals tab now refreshes automatically after updating ‘Was Not Brought’ status in a family appointment via the appointment book.

  • IMPROVEMENT The server installer is now improved by digitally signing more of the files used so that antivirus software has less to complain about. This should result in more successful installs.

  • PATCH Removed the Microsoft Office 365 email defaults that were enabled for the secure mail rollout at the end of 2022. Users will no longer be prompted to use secure email if they have outlook details but have opted to use the “other email” option as a result of not being able to use Microsoft Office 365 secure email with any free Microsoft email accounts.

    • Appointment reminder titles now use the full name of the provider/s instead of the initials so that the service appears more personalised.

    • For practices with locations enabled, appointment reminders now use the appointment location’s address instead of the main practice address.

  • NEW FEATURE Exposed a setting on the automatic appointment reminder wizard that allows users to manage how patients receive reminder messages if they have multiple appointments on the same day. EXACT can either send a single reminder or a reminder for each appointment on that day.

    • If a COT has a total band of 1, 2 or 3, but none of the services in the COT have been assigned a category to match.

  • IMPROVEMENT Improved the error message when invalid credentials are entered in the Change to POP3 Warning confirmation box of the email setup wizard. In addition, using the enter key now triggers the Confirm button.

    • The workstation installer now removes some files that were left behind by a previous version and are no longer needed.

    • When a workstation is not already updated, double clicking on the EXACT icon will now directs the user to wait for the update, and take steps to make sure that happens rather than giving them a manual install. This will take effect for the upgrade after this version is installed.

    • The automatic workstation update will now handle and recover from a locked file error, that would previously cause it to fail.

  • When creating a new appointment from a previous appointment using Copy to Clipboard, the chair time, completion and last edited data are no longer copied across to the new appointment.   • NHS Wales: The banding of several services has been corrected and the Sedative service description has been changed to Anxiolysis.

  • Fix for an issue that was preventing some users from registering online with SOE Connect when attempting to use the Register Online button in the User Settings window. The location of some buttons and checkboxes in the User Settings window have also been tweaked.

  • IMPROVEMENT Country code is now included when directing to help pages to direct to the relevant countries help pages.

  • A new COVID-19 New Zealand health screening form has been enabled for NZ practices.

  • Ireland: A new COVID-19 Irish health screening form has been enabled for EIRE practices.

  • Some sites have experienced issues logging in to a workstation after an upgrade. EXACT workstations will now update using a new more reliable installer that will lead to less workstation install failures.

  • A warning message will now be sent to administrators if the EXACT upgrade process notices that disk space is running out on the practice server.

  • The ‘updated fees' instant message now only triggers if the effective date & last modified date have both changed, so users will no longer receive a message that their fee file has been updated for a past date.

  • NHS England, Wales, and Isle of Man: Changed the wording of the Advanced Perio root surface clinical dataset to Advanced Perio (RSD) to closer match the NHS wording. This text change will be noticeable in the “FP17/O Data Set” dropdown when editing a service, and on the FP17 TC dialog.

  • NHS Wales: BPE data for Wales for Courses of Treatment on or after 01/04/2022.

  • The contact button on the live chat sidebar will now show the “Alternative Contact Methods” dialogue. The dialogue has also been updated so clicking the email address will open the default email client.

  • NHS Wales: NHS changes that will come into effect on the 1/4/22:

    • The urgent care checkbox will be removed from the NHS Risk Assessment form as it will no longer be required for Acorn data capture from 1/4/22

    • A patient's plaque score as recorded in the NHS Risk Assessment form will be included in NHS claims from 1/4/22

  • The Help menu and workspace bar have been simplified when live chat is enabled:

  • NHS Wales: The Acorn risk assessment form will no longer allow a user to say that a patient is both under 12 and edentulous. As of 1/12/2021 the user will only be able to select one of these options at a time, to ensure the correct data is being sent to the NHS.

  • An issue with the services has been fixed that could cause some features in Exact to stop responding correctly. Affected services could include the appointment reminders, portal forms or online appointments not updating or the presentation manager not working.

  • FP17PR forms that patients have not completed correctly on the Patient Portal will now be saved in the Contacts tab. Invalid NHS forms will not change the colour of the Portal Forms icon to green on the Arrivals tab of the Appointment Book. Invalid NHS forms will not be able to link with Course of Treatments.

  • Fixed an issue where Short Notice List SMS reminders were occasionally not automatically generating

  • EVOLUTION: A new configuration setting has been added to set the timeout for the BSN.   • Made changes to the Soei.RemoteSupportLauncher.exe so it no longer gets falsely flagged by (Kaspersky) anti-virus software when it tries to be installed.

  • NHS England and Isle of Man: You can now select if a Course of Treatment included Flexible Commissioning in the TC dialogue.

  • NHS Scotland and Northern Ireland: As an extension to the automated fee download feature, an instant message will be used to notify admin users when NHS fees are automatically downloaded and imported by EXACT.

  • NHS England and Wales: NHS Contact Preferences in the exemptions window will now default the patients communication preference to email or mobile if either of them are available. If both are available, email will take priority

  • NHS Wales: Acorn form changes for Perio Health/BPE window that will be automatically applied from the 1st of December, 2021. Two new fields have been added, Patient is edentulous in the Relevant History tab, and Patient unable to tolerate periodontal examination in the Perio Health tab.
    - If Patient is edentulous is checked in the , then the Perio Health will not be able to be edited
    - If Patient unable to tolerate periodontal examination is checked, the other perio health information will not be able to be edited

  • NHS Scotland and Northern Ireland: NHS fee updates will now be downloaded and imported automatically when the next fee file update occurs, preventing users from needing to do this themselves in future.

  • NHS England, Wales and Isle of Man: Added new Clinical Data Set categories & services when completing NHS treatment. The new Clinical Data Set categories will automatically appear after the 1st of December 2021.
    A feature flag can be used to control this date: Internal.payor.nhs.01122021 changes

  • NHS Wales and Isle of Man: Added functionality to record how many aerosol generating procedure (AGP) appointments are done per course of treatment.

    • NHS Claiming: AGP appointment count will now be added to claims for Wales and IOM for courses of treatment started on or after 01/12/2021.

    • An AGP check box has been added to the edit service item window to allow practices to configure which services are counted towards the AGP total.

    • The TC dialog shows the AGP count so that users can confirm it is correct before sending the claim.

  • Two merge fields have been added that show longer date formats for the short notice gaps. These can be use to provide a better patient experience in TXT messages.

  • Apollo will now use IoT Hub in Azure to make connections to EXACT servers.

  • Scotland and Northern Ireland NHS: When the Download fees button is selected, EXACT will update fees for all active NHS payors and show the effective date of the fee update on the payor window.
