Software Purposes

The Oasis Presentation Manager is an "object oriented" blank workspace that allows the user to place various objects on the workspace and save it as a form, template or patient-related document. Its two main purposes are:

  • Forms Editor A tool for creating graphical forms used by other Oasis applications
  • Presentation Manager ModuleAs a tool for creating professional presentations such as dental treatment plans, Patient Contracts and specialised letters.

Using Oasis Presentation Manager as a Forms Editor

Prior to the release of the Presentation Manager, graphical forms used with Oasis were created using third party products, such as Harvard Graphics or Zoner Draw, usually by your Oasis distributor.
These graphical forms are used in a variety of Oasis applications such as billing statements, treatment plans, patient appointment list - usually to generate letterheads and logos.
Whilst this approach offers the facility for complete customisation of forms to suit practice requirements, the complexity of some third party products made it difficult to make easy changes to these forms. In most cases, if changes were required it meant that your Oasis distributor had to access your system over the internet to change the forms or for the practice to send in a backup for changes.
By using components of the Oasis Presentation Manager as a replacement Forms Editor, the practice can learn to make its own changes to these forms more easily.
If your practice has not purchased the Presentation Manager, you can still use the Forms Editor component to make graphics forms changes as and when you need it. Please Refer to section on Installing and Setup for details on configuring Oasis as your preferred Forms Editor.

About Presentation Manager

Prior to the introduction of this new software module, creating professional styled forms for such things as Treatment Plans, Treatment Contracts was not an easy task. This problem was common to all other Practice Management programs and not just Oasis.
In most cases, the practice would use Microsoft Word or Publisher to generate these forms. The difficulty was in collating data from a wide variety of sources – Oasis treatment data, third party xrays, treatment images and financial details and putting all this together in a format that could be easily retrieved and edited.
The new Oasis system is specifically designed for non computer experts and uses a simple "drag drop" interface to insert information onto the Presentation Form.

Uses of Presentation Manager
Oasis Presentation Manager can be used for a multitude of different functions including:
Treatment Presentation Forms – incorporating Xray and IntraOral images, Oasis Treatment Plans and Text explaining treatment concepts
Patient Contract Forms – incorporating Oasis Progressive Invoice plans and Contract Details.
Medical and Dental History Forms – designed for patient's to fill in.
Appointment Forms showing patient's next appointments
Financial Information Forms showing the patient's financial history and financial notes.
Patient Education Slide Forms which you can use to explain treatment procedures or clinical problems.
Graphics Forms – for exporting and use with Oasis Statement formats.

  • Data Entry Forms for custom entry of data by your own operators on screen.
Practice correspondence including Work Certificates, Referral Letters and any other documentation.
    Practice Information forms

    Guided Tour

    Introduction

This section explains how to run the Presentation Manager program. It will give you a summary of the main components of the program and explain the use of Forms, Objects and Menus.

    Running Presentation Manager

The Presentation Manager program is opened by clicking on Component Tools and selecting Presentations.

    Presentation Manager Components

The Presentation Manager main screen consists of five main components:
  • The top menu bar for editing information, loading, saving and printing information.

  • An icon bar for selecting objects to "drop" onto the screen form.

  • A side Icon bar for selecting patient related objects to "drop" onto the screen Form.

  • Clickable lists for Page and Zoom selection.

  • The main screen form into which objects are placed.

Basic Information

The Presentation Manager program in Oasis recognizes three types of Form:

  • Template Forms
  • Patient Document Forms
  • Graphics Forms

The way Oasis 11 handles Forms saving and loading depends on the type of form:
Template Forms
A Form can be saved as a Template, and retrieved for later use. The Form is saved in the server's \oasis\present\templates folder.
When the Template Form is re-loaded, Oasis dynamically relinks any Oasis patient-related data.
For example, a Template Form is created and saved incorporating Mr Smith's Dental Chart #1. When the same Template Form is opened for a different patient called Mrs Jones, Oasis will dynamically re-link the new patient's Dental Chart #1. If any item of relinked data does not exist, that "missing" object is removed from the Form.
Patient Document Forms
A Form can be saved as a Document in the Oasis WP Document System. When you first save a Form as a Document (instead of a Template), Oasis takes a snapshot of all objects at the time of saving and stores these linked to the Patient's Form. This means regardless of what changes have occurred to this linked data in the meantime (e.g. you've performed some charting on Dental Chart #1), Oasis will load the Form up with the same original data at the time the Form was first saved.
Graphics Forms
Graphics Forms are used to create pages that are printed by custom Oasis format reports such as Statements, Treatment Plans, Coupon Books etc. Each Graphic form is saved in the server\oasis\data folder. A special EXPORT function saves the Graphics form to an EMF or WMF file for use with Oasis custom reports.

Working with Objects

The Icon Bar at the top of screen is used to select, then drag/drop objects of information onto a Form. This Icon Bar is common to the Oasis Presentation Manager and Forms Editor.

The operator clicks on the object with the left mouse button, "drags" the object onto the Form and then "drops" the object onto the Form by lifting off the left mouse button.

Alternatively, a single RIGHT mouse click on the object places the new object at the top left side of the form.
The Top Icon Bar Object Components consist of:
Line Graphics

Text & Data Entry Boxes

Images/Pictures/Movies

The Side Icon Bar is unique to Presentation Manager and includes the following objects:

PATIENT PHOTO

PATIENT IMAGE

PATIENT MERGE FIELDS

DENTAL CHARTS

PATIENT TREATMENT PLANS

PATIENT CLINICAL NOTES

To zoom in or out of the current Form, click on the Zoom list at the top right of screen and select.

Using Objects

Introduction

This section explains in detail how to use each Icon Bar Object.

Using Drawing Objects

This object draws a vertical line on the Form. Reposition the line or extend the height of it by mouse drag on the top or lower object handles.
This object draws a horizontal line on the Form. Reposition the line or extend the width of it by mouse drag on the left or right object handles.
This object draws a rectangle on the Form. Reposition the object or extend its size by mouse drag on the object handles.
This object draws a circle on the Form. Reposition the object or extend its size by mouse drag on the object handles.
This object acts as an Eraser. It does not delete the object but places a white space box over the top of any other object.

Using Text Objects

Introduction
It is important to remember that Oasis Presentation Manager is based on graphical screen pages. As such, unlike a Word Processor, any text created on a Presentation screen page does not wrap across multiple screen pages. When inserting or creating long text objects, the operator must handle the positioning of text and break up the text where required into separate text objects on separate pages.
Single Line Text Box
Lets you enter a single line of free format text. This type of object is useful for positioning labels around the form. Double click within this object on the Form to type the text and change font attributes.

Multi Line Text Box
This object allows you to add multiple lines of text to your Form and is useful for creating ad-hoc text paragraphs. Change the width of the text box by clicking on the object's side handle and increase or decrease as required.

Double click within this object to change the text and font attributes. The Multi-Line
object also lets you insert special patient merge fields within the body of text.
Rich Text Box

Lets you add multiple lines of text to your Form. The text can include mixed text sizes and font attributes, however it is limited to a single text font.

Standard Paragraph Text Box
Oasis lets you build a library of standard paragraphs. This object is ideal for multi-line text with mixed fonts or for text paragraphs that you will commonly use in your Presentations.

When you double click within this object, Oasis will load the text into your Oasis Text Editor making it easy to edit information. The Standard Paragraph System also lets you insert special patient merge fields within the body of text.
Word Templates

Any predefined Word template letter that has been created using the Oasis Document System (My Money, Documents, Setup, Template Letters) can be selected and inserted into the Presentation Manager Form.
When selected, the template document is converted to a Rich Text box. When you double click on this object, Oasis will load the text into your Oasis Text Editor making it easy to edit information.
Abbreviation Text Box
Lets you inserts a predefined Text Abbreviation into the Form as a Multi Line Text Box.

Using Data Entry Object
Use this object to position data entry fields around a form. In this way you can develop forms which operators are required to complete such as Initial Examinations or Medical History Forms.

Data entry objects appear with a background white color and with a fixed borderline around the object for identification purposes.
When entering data into this object, double click on the object and enter in text as required.

Using Picture Objects

These tool buttons control the insertion of graphical pictures objects.
Insert a Picture Graphic
This is useful if you have patient treatment images that are stored on the computer or other media or you want to insert a practice graphical letterhead or logo.
Insert Icon Graphic
Icons used within Oasis such as Appointment and Treatment icons can be inserted into a form.
Insert Clipboard Picture
This is useful for copying xray and intraoral images that have been stored in a third party program. Copy the image to the Windows Clipboard in the third party program, switch back to Oasis and Paste
using this tool.
Insert Twain Image
Use this tool for obtaining images from devices such as digital cameras or scanners.
Using Drag/Drop Wizard
This tool is temporarily unavailable and is to be replaced with a "multi file selection" facility.
Insert Slides
A selection of slides are provided for use within Presentation Manager. Drag this icon into the main panel to view the slides.

Insert Patient Photo (Side Bar)
This tool button inserts the patient's Oasis photograph into the Form.
Insert Patient Image
Patient treatment images stored in Oasis can be inserted in the form using this icon. A listing of all the patient's images will display. Click on the image from the selection listing to insert it into your Form.

Using Patient Merge Object

Data keyed in the Patient Edit Screen plus other miscellaneous merge data can be inserted into the Form. A list of all patient merge fields is provided for selection.

Oasis then creates a multiline text box for each actual item of data. You can then use the normal double click editing facilities for changing the text or font characteristics.

Using Charting Objects

These four buttons enable insertion of Restorative, Periodontal, Specialist charts and the Restorative Charting Arch Graphic For each chart type, Oasis will give you a list of patient's charts and let you select from the list.

Oasis will then display the selected chart as a special picture object. The object can be resized to suit.

Using Treatment Plan Object

Use this object to select a patient's treatment plan to be inserted into the main panel. Drag the icon into the panel and a list of the patient's treatment plans will display. The selected plan is inserted in a special spreadsheet format for easier viewing.
N.B: If the Treatment Plan cannot fit on a single page, Oasis will automatically split the object up across multiple pages.

Using Treatment Plan Line Object

When this icon is selected, all item detail lines for the patient's current Treatment Plan will be displayed. Click on a Visit Header line, and only the detail lines relating to that Visit will be inserted into the Presentation Form in a special spreadsheet format.

If a non Visit Header line is selected, then Oasis will insert only that single item detail line's description into the Form.

Using Clinical Note Object

When this icon is selected, the patient's Clinical Notes are inserted in a special spreadsheet
format.

N.B: If the Clinical Notes List cannot fit on a single page, Oasis will automatically split the object up across multiple pages.

Using Diagnosis Sheet Object

This icon displays a list of all Diagnosis Sheets for the patient for selection. The Diagnosis Sheet is inserted in the special spreadsheet format.

Using Progressive Invoice Object

This icon enables the insertion of the patient's Progressive Invoice into the Form. The Progressive Invoice schedule is inserted in the special spreadsheet format.

Using Appointment List Object

Use this icon to insert all future appointments for the patient or (family) into the Form.

Using Financial History Object

This icon lets you insert the Family Head's complete Financial History into the Form. The Financial History shows ACTIVE transactions only. Deleted transactions do not appear.

Using the Financial Notes Object

This icon lets you insert the Family Head's Financial Notes into the Form

Using the Examine Pro Object (where Examine Pro installed)

Use this icon to place Examine Pro digital images or Xrays onto the presentation.

Object Management

Deleting Objects
To delete any object on the Form, click on the object and tap the keyboard DEL key (or use menu option "Edit", "Delete Object(s)".
To delete more than one object on a form, click outside the area on the form and drag the mouse around the objects that you want to delete. Then tap the keyboard DEL key (or use menu option "Edit", "Delete Object(s)".
To delete all objects on the current Form, click on menu option "Edit", "Select All" and then menu option "Edit", "Delete Object(s)").
Copying Objects
To make copies of existing objects on the form:
To copy a single object on a form, single click on the object and choose menu option "Edit", "Copy Objects".

Then click on menu option "Edit", "Paste Objects". Oasis will paste a copy of the object adjacent to the original object. You can then move the pasted object as required To copy more than one object on a form, click outside the area on the form and drag the mouse across to encompass the objects
to be copied. Choose menu option "Edit", "Copy Objects". Then click on menu option "Edit", "Paste".

Note: Grid lines are turned on for these diagrams (Options, Show/Hide Grid)
Copying Objects across Pages
To copy object(s) from one page to another, select the objects (single click or mouse drag) and choose menu option "Edit", "Copy Objects". Click on the new page number in the listbox and then click on menu option "Edit", "Paste Objects".
Resizing Objects
The size of most objects can be changed by single click on the object and dragging the selected object's handles. The way you resize an object depends upon the type of object selected:
One Dimensional Objects

These are vertical and horizontal lines. Dragging using the top/bottom handles (vertical line) or side handles (horizontal lines) changes the height and width accordingly.
Two Dimensional Objects

These are objects such as rectangles, photos, dental charts and images. Dragging using the side handles enables you to stretch or reduce the width of the object.
Dragging using the top and bottom handles enables you to stretch or reduce the height of the object.
Dragging using the diagonal handles reduces or increases the overall image size maintaining its aspect ratio.
Single Text Boxes

This type of object automatically resizes in width as the amount of text in the box increases or reduces in size. Oasis does not permit you to manually resize the box.
Multi Line Text Boxes, Data Entry Boxes & Paragraphs
These types of objects automatically resize as more text is entered into the box. Oasis will automatically increase the height of the object as more text is entered and reduce the height as text is removed.
Changing the width of the text box using the side handles increases or reduces the height of the box accordingly. (If you want more text on a line then increase the width of the box. If you want less text on a line then decrease the width of the box)
Table Objects
These types of objects include Treatment Plans, Diagnosis Sheets, Clinical Notes and Progressive Invoices and are displayed in a tabular spreadsheet format. These have fixed sizes and cannot be changed by the operator.
Repositioning Objects
To reposition any object on the Form, click on the object, hold down the mouse, move the object to the new position on the Form and then release the mouse.
To reposition more than one object on a form, click outside the area on the form and drag your mouse across the objects that you want to move. Then move the images to the new position and release the mouse.
Aligning Objects
You can make multiple objects line up together on a Form. To do this, select the objects, then click on menu option "Edit", "Align Objects" and choose the alignment method – Left, Right, Top or bottom or Centre Across Page.

Changing Objects Layers
Each object that you add to your Form is added to a three dimensional screen layer and is tiled across the top of any other objects.

You can change the object position relative to other objects behind by clicking on the object and choosing menu option "Edit", "Bring to Front" or "Send to Back".

In the above example, the operator has two objects - a patient photo object and a single line text box object. The Text box object is sitting over the top of the photo.
To change the position of an object over or under another object, single click on the object and choose menu option Edit, Bring to Front or Edit, Send to Back.
The example now looks like this:

Picture Object Editing

Any picture object that is dropped on to the Form can be edited. This includes normal pictures, photos and icons plus other treatment objects (Image Library, Charts etc) which are converted to picture objects when selected.
Double clicking on that object loads the graphic into the Oasis Paint Editor.

Within the Paint Editor you can make graphical changes to the object – including padding text, drawing lines and "scribbling" wherever you like.
Then click on File, Save to make permanent changes to the graphic. Oasis Paint then returns you to the Presentation Manager.

Line Draw Editing

In addition to the resizing and reposition of line drawing, you can also change the background colour of circle and rectangle objects.
Double click on the circle or rectangle. Then use the RGB Slide bars to create the background colour
Then click on menu option "File", "Save" to save the changes.

Oasis will display the circle or rectangle in the specified background colour.

Text Management

To change text in one of the three text box types, double click on the text object.
Single Line/MultiLine and Data Entry Text Boxes
With these types of Text Boxes you can change the following characteristics for ALL TEXT in the Box.

Paragraph Text Boxes
If you have selected a standard paragraph box, Oasis will let you change the wording and font characteristics for individual letters and words as required.

N.B: The paragraph text editor does not support text colour definition as with the single line and multi line text editor.
The paragraph text editor lets you define different font names however Presentation Manager cannot show these. If different font names are required then use separate text boxes or separate paragraphs.

Using Data Variables

Introduction

This chapter explains in detail how to embed and process patient merge data variables.
Data merging involves the merging of patient related data variables into the body of the Form. There are three methods for doing this.

  • Direct Insertion
  • Indirect Insertion
  • Data Entry Insertion

    Direct Insertion

When you use the Patient Merge Object and select an item of patient information, Oasis reads the patient database and places the actual data as a text object on your Form. For example if your patient's surname was "Jones" and you used the Patient Merge Object to display the patient's surname then the word "Jones" would be inserted into a special Text Box.

When the Form is saved and reloaded with a different patient name, Oasis will automatically reread the patient database and show the correct surname for the new patient. When the Form is saved as a patient document, Oasis breaks the link between the special text box and that patient and saves the object as pure text. When you load this Form again from the patient's document folder, you see the text appear as it was at the time the Form was first saved.
Direct Insertion using the Patient Merge Object is ideal for single labels, or where you want to position single items of patient related data on a Form.
Here's an example of usage: You are an Orthodontist and you want to position Contract Details on the form.

There are six objects on this form.
    Object Text Details
    Single Text Box Contract Amount
Single Text Box Billed to Date
    Single Text Box Balance
Patient Merge Merge Field 43 4500.00
Patient Merge Merge Field 45 2000.00
Patient Merge Merge Field 90 2500.00

    Indirect Insertion

In this second method, merge variables are placed into the body of various objects. This enables multiple variables to be more easily displayed than having to position single merge variables together.
For example, the same Orthodontist wants to position contract details in the form of paragraph text. If the direct insertion method was used, the potential exists for one text object to overwrite another text object due to increased length. This is because each text object has a fixed position.
The alternative is to use indirect Insertion. This is available in Standard Paragraphs and Multi Line Text Objects. When you double click on each of these types of objects, Oasis gives you a list of merge variables. When you click on and select that particular variable, Oasis will insert this into your object's text as a number prefixed with a special @ symbol.

When you save the Form as a Template, the merge variables are left intact. When you load the Form again for use with another patient, the merge variables still remain until you choose to manually replace them with the patient's actual text. This can be done by clicking on menu option "Edit", "Replace All Merge Fields". Oasis will go through all text objects on your Form and replace the "@" variables with the current patient's text.

The Replace Merge Fields function is also done automatically when you save any Form in the Patient's Document Folder. Oasis will go through all text objects on your Form and replace the "@" variables with the current patient's text prior to saving the Form. This is to ensure that if you reload the patient's Document Form at a later date, the text on the Form is a reflection of patient data at the time the Form was originally saved.

    Data Entry Insertion

This third method is only used by data entry text boxes. When a data entry box is double clicked, Oasis displays the text editing screen. Unlike other text boxes, when you click on the patient merge variable, Oasis inserts the actual text into the data entry box, saves the changes and then exits back
    to the main Form.

    File Management

    Introduction

The File Management functions control the Saving and Reloading of Presentation Forms. The methods for loading and saving forms depends upon the type of Form used.

Each of the four types of Presentation Forms has its own Open and Save menu options.

    Creating New Forms

Use menu option "File", "New Form" to create a new blank Form. If you have made changes to an existing form, the system will ask you to confirm clearing of the existing form before creating a new one.

    Saving Template Form

Once you have finished designing your Form, you can then save the Form as a reusable Template Form. Click on menu option "Templates", "Save Template Form".

Oasis will display all other Template Forms in your server's \oasis\present\templates folder.

Type in a meaningful template name and click on SAVE button.

    Loading Template Form

To reuse an existing Template Form, click on menu option "Templates", "Load Template Form".
Oasis will display all other Template Forms in your server's \oasis\present\templates folder as per the diagram above.
Click on the Template Form that you want to use and then click on the OPEN button. Oasis will then load that Template Form onto your screen.

    Inserting Template Form

To insert another template form into an existing Template Form or document, click on Templates, Insert Template Form.
Oasis will display all other Template Forms in your server's \oasis\present\templates folder.
Click on the Template Form that you want to use and then click on the OPEN button. Oasis will then insert that Template Form onto your screen.

    Saving Patient Document

To save a completed Form against the current patient's records, click on menu option "Documents", "Save Document Form".

Oasis will invite you to enter a description for this document.

Oasis will then save the document in the patient's WP Document folder and give you a message on completion.

Note: If you continue to perform more editing on this saved document, Oasis will simply resave the document instead of adding a new document.

    Loading Patient Document

To reload an existing Document Form, click on menu option "Documents", "Open Document Form"
Oasis will display all Presentation Manager documents in the patient's document list.

Click on the document that you wish to reload from the list supplied.

    Loading Patient Document from WP

Because Oasis saves the patient document in the patient's master WP Document list, it is possible to access the Presentation document from this list.

Oasis displays all WP documents (including Presentations).

Click on the Presentation Document and choose "Edit Document" option.

    Saving Graphics Form

As detailed in earlier chapters, a component of the Oasis Presentation Manager is used to create graphical statement forms. Once you have finished designing your Form, you can then save the Form as a Graphics Form. Click on menu option "Graphics", "Save Graphics Form".

Type in a meaningful Graphics name and click on Save.

    Loading Graphics Form

To reload an existing Graphics Form, click on menu option "Graphics", "Open Graphics Form".
Oasis will display all saved Graphics Forms on the server's Oasis\Data folder.
Click on the Graphics Form that you want to use and then click on the OPEN button.

    Exporting Graphics Form

In order for Oasis to use the Graphics Form as part of a custom statement print, the Graphics Form must be exported to your server \oasis\data folder in a special format known as EMF (EMF=Enhanced Meta File) or WMF (WMF=Windows Meta File). This is usually done in conjunction with your Oasis Distributor when changes are required to your custom forms.
To export your Graphics Form do the following
Click on menu option "Graphics", "Export to EMF File" or "Export to WMF File". Oasis will display all Export files in your server's \oasis\data folder.
Type in a meaningful Graphics name and click on SAVE button.

    System Setup

From the Oasis Main screen, click on
Preferences, Component Tools, Presentation Options to configure the following System Wide Options:
    #1. Show Branch Details Y/N
When set to "Y"es displays the appointment branch details as part of the description of the appointment when the Appointment List Object is used.
    #2. Text Line Spacing
By default, Oasis multiline text and paragraph boxes use a line spacing of "1". If you want smaller or large spacing then key in the new line spacing otherwise leave as blank or "1".
#6. Insert Clinical Notes Only Y/N
Normally, when the Clinical Notes object is used, Oasis will display all Clinical Note entries (non struckout) in your Form. If you set this switch to "Y"es, then Oasis will only insert Clinical Notes marked for printing.
    Prompts #8 - #10
Lets you define the wording to appear on inserted treatment plans. When left blank then the default wording is used.
    #8 = "Plan Sub Total"
    #9 = "Plan Completed"
    #10= "Plan Balance"
    Prompts #11 - #12
Lets you define how Oasis handles inserting Treatment Plan Lines and Visits where the $dollar value is zero. When set to "Y"es, then plan lines with zero amounts are displayed as a blank. When set to "N"o then plan lines with zero amounts are shown as "0.00".
#13 Blank Plan Item Codes Y/N
Enter "Y" if you are in a practice where item codes in a treatment plan are not relevant (e.g. Periodontics) and you are using the Oasis Presentation Manager. When Oasis inserts the Treatment Plan, the column showing item codes will be left blank.

    #14 Hide Plan Completed Y/N
If "Y" is entered then Oasis will hide the Rows for "Less Completed Treatment" and "Total Treatment Outstanding" and show a single total line.
#15 Add Plan Line Comments Y/N
If "Y" is entered then Oasis will check for attached comments to each plan detail line and will add this to the line description when inserting treatment plans
#16 Insert Top Chart Only Y/N
If "Y" is entered then Oasis will only insert the top existing conditions general chart instead of inserting both existing and proposed charts. This is to cater for practices that do not use the lower
proposed chart at all in dental treatment.
    #17 Always Use Patient Current
Generally set to Y so the patient's current plan is inserted.
    #18 Always Replace Merge Fields
If using Paragraphs with Merge Fields embedded then set to "Y".

    Workstation Setup

From the Oasis Main screen, click on Preferences, Component Tools, Presentation (Workstation) and configure the following Workstation Options:
    Templates Folder
For each workstation or "0" = All.
    Show Background Grid
When set to "YES" forces Oasis to display the background grid when loading the Presentation Manager.
    Maximise Window
When set to "YES" forces Oasis to maximise the Presentation Manager form when loading the Presentation Manager
    Merge Symbol
Defines the merge symbol used to identify Oasis patient variables in paragraph files. The default is "@" if left blank.

    Sample Templates

Sample templates are provided on the Oasis installation CD in the \install\presentations folder. You may like to use them as a guide for creating your own new ones.
