How do I set up Patient Self Check-in?
Oasis can be configured to allow patients to check themselves in for treatment in your reception area. You will need a computer available in reception for this purpose, preferably restricted to the Oasis application so that patients cannot access other applications.
For a patient to self check-in, they must be in the appointment book on the day.
The self check-in feature is configured using Preferences, My Time, Scheduler Checkin Options.
The fields are as follows:
Checkin Message - A message that will display on the screen when the patient checks in (up to 75 characters)
Play Checkin .wav file - When set to “Y”, will play a sound file on the waiting room user ID computer to alert them to the patient’s arrival.
Show Patient Photo - When set to “Y”, the patient’s photo will be displayed on the self check-in screen, allowing the patient to identify themselves by photo rather than by name.
Hide Photo on Select - When set to “Y”, as the patient registers, their photo will disappear from the self check-in screen.
Disable Photo Refresh - When set to “Y”, patient photos remain in their original position on the self check-in screen.
Track Keyboard - If you have a touch screen available, you can have an on-screen keyboard. This switch enables the on-screen keyboard function, as well as allowing a patient to register by touching their photo on the screen.
Use Barcode Entry - When set to “Y”, allows the self check-in system to use a barcode reader to read the patient’s barcode (issued by the practice).
Centre Data Entry on screen - When set to “Y”, the data entry components of the self check-in screen will be centred on the screen.
Hide DOB Request - When set to “Y”, the Date of Birth data entry field will be suppressed - only Surname and Given Name will be required.
With your settings as shown above, you will have a self check-in screen that looks like this:
If you chose not to have photos, the patient would only see the data entry fields shown at the left. They would then need to enter their details to check in. If they have multiple appointments on the day (e.g. dentist and hygienist), they would then be shown a list of appointments to choose from.
Alternatively, if Popeye were to click on his photo, the following prompt appears:
If Popeye clicks “Yes”, the following message will be displayed (and the checkin.wav file will play on the waiting room recipient computer):
As soon as he clicks OK, his photo will disappear (unless he has multiple appointments) and the next due patient’s photo will shift into the top left location as shown below:
The Self Check-in screen without photos looks like this:
The patient enters their Given Name, then their Surname and Date of Birth (if not suppressed). They then click the List your appointments option and then click their appointment time (they could have multiple appointments). The system then displays the messages as shown above (on the photo enabled screen shots).
Printing Barcodes for patients (based on their number).
Oasis supports the ability to print any variable as a barcode at a specified X, Y page coordinate. This could be affixed to a card and handed to the patient to use whenever they want to self check-in. The method shown is for a single label printer - not sheet labels.

By default the Barcode height is 600 twips. You can increase or decrease this by setting the Min value

With the barcode option enabled, the patient uses a barcode scanner instead of entering their details.
To prevent patients exiting the self check-in window, you need to set a password as follows:
Select Preferences, System Manager, Program Passwords. Enter your “master” password to access this screen. Find Program 996 (Exit Self Login Screen) and Edit Record. Enter an appropriate password into the password field and save the change. If there is no 996 listed, create a new 996 record and enter a password for it.
