How can I create a new document template?

This is a brief outline on creating a new document template using Word for Windows. It assumes you have Word for Windows installed and configured for use with Oasis and that you have a generic "template.doc" in your template folder. It also assumes you have the Oasis Document Assistant installed.

To create a new template, select Preferences, My Money, Document Templates.



This will load a screen with all of your existing defined templates. They can be .DOC documents, .VPD documents, HTML documents, .JPG images etc.

We are going to add a new Word template.

Click New at the top of the window.



We are going to create a document "REFORTH" , so we enter the code REFORTH. In the Document Description we enter "Referral to Orthodontist". When you tab (or Enter) from the description field, Oasis will add the .DOC extension and when you tab again, it will add the File Name "REFORTH.DOC". In the "Show in Patient's Correspondence Window" field, enter a "Y". All other fields but 12 and 13 should be "N" (or blank). The "Add to Patient's Pending File" means the template will be saved to the patient's document library and the "Request Referral Doctor" being set to "Y" will trigger the template to prompt you to select one of your referring doctors when you use the template. As this is a referral to an orthodontist, you will be able to select the orthodontist from your referring doctor listing (provided you have added them to it).

Now that you have entered the appropriate data, click OK at the top of the window.



The system will prompt you "Create this new document?" to which you would normally respond by clicking Yes.



This will open Word for Windows with a document named REFORTH.DOC (in this example in compatibility mode as Word 2019 is being used and it expects .DOCX).

At this point, you can use the Oasis Document Assistant to embed patient data and referral doctor details into the template.

When you have finished entering all the information you want in the template, ensure you save it with the "Mailings", "Preview Results" checked so that a patient's name and other details are visible in the template - not just the field numbers.

Once saved, you will be able to use this template for any patient by selecting the patient, then selecting the Correspondence screen, and then selecting the template from the list at the right of the correspondence screen.
