NHS.net Email Accounts & EXACT

How to Setup your @NHS.net Email account Within EXACT

@nhs.net email accounts can send and/or receive emails within EXACT from Version 13
Before adding your email details into EXACT you will need the NHS to enable your chosen nhs.net email account as an Application Account.
Registering for an NHSmail account

If you are an individual member of staff working in a trust or other organisation that already uses NHSmail and you wish to register an account, you should contact your Local Administrator or IT Helpdesk. see here for full details: https://support.nhs.net/knowledge-base/access-hss/

Upon confirmation on the above, you now need to follow the below steps to add the account into EXACT.

1. Choosing between POP3 & IMAP for incoming mail.
If you do not require EXACT to receive your emails and only send them, go to step 2.

POP3 - (ports 995 or 110) Using POP3 is likely to pull every existing email into EXACT and will remove them from everywhere else you’d usually see them, these can not be retrieved!
IMAP - (Ports 993 or 143) This option will retain a copy of the emails on the mail server so you can continue viewing existing and new emails external to EXACT (i.e Outlook, online).
Please Note: EXACT after receiving emails via IMAP may mark the emails as “read” on the mail server.

Update 1st November 2021: NHS.Net have changed their mail servers and are now using outlook.office365.com, advised the practice to use this in both their inbound and outbound email parameters.

Update May 2021: Some NHS email users have found using poplegacy.nhs.net is required as the incoming mail server (Hostname) if using POP settings

2. Go to Configure, Email Parameters, click Next.
a. Enter your email address into both the first and second boxes followed by your password.
(If you wish to mask your sending email address so your patients reply to an alternative address enter the masking email address in the first box but please read the “Please Note” section at the bottom of this article.
b. Then tick incoming mail if you wish to receive emails in EXACT.
c. Now enter the mail server addresses and ports taken from the table above. (tick IMAP if using port 993)
d. Tick “Use Authentication for outgoing mail” and click Test Credentials

3. If you see “Test Successful” click “Next” until you eventually click “finish” and your new details are saved.


If this fails the test. Please login to the NHS Web Mail, this will allow you to confirm that the password is correct.  


If the test continues to fail please make sure you have a copy of the confirmation email from the NHS regarding the account now being an “Application Account” and contact the SOE Support team for assistance either by phone or at support@soeuk.com

 

PLEASE NOTE:
If you wish to mask the sending email address with an alternative email address make sure the “Practice email Address” (the first field) is the one you enter this into.
Beware - mismatching/masking emails may cause SPF record issues / undelivered mail.
