Location Number and NHS Organisation

To send claims to NHS Dental Services after April 1st, 2006, all Practices require a new 6-digit location number and NHS Organisation.

If not known they can be obtained by calling NHS Dental Services on (01323) 433560 and are recorded in EXACT as follows:

To Enter a Location Number & PC Name

  1. Select Configure > Practice Information to display the Practice Information window:

     

  2. Enter the information into these two fields:

NHS Location Number

NHS Organisation

  1. Click OK to save the information and close the window.

To enter further information if Locations is enabled in Practice Settings

 

If Locations is enabled under Configure > Practice Settings you need to enter the NHS Organisation and NHS location number for each location.

  1. Select File > Locations to display the Location File window:

     

  2. Enter the correct information for each location and click on the

     

    button to save it.

  3. On completion, click on the

    button to close the window.

Personal Contract and Pin Numbers

To provide treatment and be credited for UDAs or UOAs against a NHS Contract after April 1st 2006, each Performer must have a 6-digit personal number recorded in their Provider File. Additionally, for their claims to be accepted by NHS Dental Services, a PIN number must be provided during transmission.

If not known they can be obtained by calling NHS Dental Services on (01323) 433560 and are recorded in EXACT as follows:

To Enter Personal Contract and Pin Numbers:

  1. Select File > Provider > NHS Details tab and specify a Provider:

     

  2. Select +1 to open the Add NHS Performer Information window.

  3. Enter the Performer’s details in this window.

    Performer Number and PIN must be 6 digits.

  4. Click OK to save.

  5. Repeat this procedure for each Performer with a personal Performer Number.

  6. On completion, click on the

     

    button at the top right corner of the Provider File window to exit.



NOTE: An upgrade process will have automatically created a 6-digit personal number for each provider who already had a contract number entered prior to April 1st, 2006. These should be checked to make sure they are correct, in addition to adding in anyone else who will require claims to be transmitted after April 1st.



Ethnicity Field and New Patients

As part of the NHS changes for April 01, 2010, the Ethnicity field on the FP17/O screen when completing a course of treatment should have an entry.

As an aid to ensuring this is not blank at TC time, you can configure it in EXACT so that when creating a new patient record you are prompted to choose the appropriate ethnicity code. If you have appropriate administrative privileges in <exact, you can set this up.

  1. Select Configure > Patient File to open the Patient File window, then click the Mandatory Fields button:

     

    The Mandatory Fields window displays:

     

    Note that Ethnicity appears in both the upper list and the lower one.

    The upper list is for fields that are mandatory (shaded yellow in the Patient File), and which you have to complete to save a patient record.

    The lower list is for fields that are not mandatory (you can Save without them), but for which you will see a warning if left blank when saving.

  2. Select one of the two Ethnicity Options (the two lists are mutually exclusive).

  3. Click the OK button to save.
