Setup Guide - Tyro for EXACT

PLEASE READ

  • SETTING UP A TYRO TERMINAL IS A 4 STEP PROCESS.

  • TYRO SUPPORT ARE HAPPY TO HELP INTEGRATE A TERMINAL AND ARE ABLE TO DO STEPS C and D with a practice who has their admin permissions in connect.

  • STEP A AND B NEEDS TO BE DONE BY AN SOEI USER.

  • THUS, A PRACTICE WILL NEED HSO SUPPORT TO DO ATLEAST SOME OF THE INTEGRATION

SETUP GUIDE

A. Configure EXACT to point at Connect

Who can do this? - Can be only be done by HSO support

Step 1. Configure Settings

a) Go to Connect and login as a super user and click Practices

b) Find the practice you are looking for and click the Action button > Show details

  • Note the Tenant ID, Tenant Name and User Registration Code

 

c) Then go back into Exact and click Configure > Settings > Enter password

d) Search for “Soeco” and then enter the following:

  • internal.soeconnect.tenancy id = <Tenant ID>

  • internal.soeconnect.tenancy name = <Tenant Name>

  • internal.soeconnect.user reg code = <User registration code>

Optional (only if user is unable to connect using the default values):

These values are found in Step 1 -b just above.

Step 2. Search for “Soepay” and then enter the following:

  • payment.soepay.default partner = Tyro


B. Add Tyro payment method

Who can do this? - Can be only be done by HSO support

 

Step 1. Log in as a super user
Step 2. Go configure > patient payments
Step 3. Click “+1”

Step 4. Name payment method

Code = TyroPay
Tick = Other
Click “OK”

*Disclaimer - Name it “TyroPay” or “TyroEftpos”” because EXACT will automatically create claims under the code “Tyro” on all cashing up reports. The TyroPay/eftpos payment method is just for taking payments and/or gap payments. As to process a claim, a practice just needs to press the new “Process claim button” where the famous HICAPS button used to be.

ie: Want to process a claim = Press the process claim button

ie: Want to take a payment: Use the TyroPay payment method. This acts like “eftpos” used to for HICAPS.

Step 5. Configure the claim functionality

Click “db”

Step 6. Add the following

paymentProvideName = Tyro

Code = Can be anything, in this case, just name it what you named the eftpos name ie: TyroPay or Tyroeftpos

Step 7. Click “OK”
Done.

 


C. How to pair and setup a terminal

Who can do this? - Can be done by practice, Tyro support OR HSO support (anyone with terminal adding permissions in connect)

1. Log into Connect

Step 1. Go to: https://soei.soeconnect.net/account/login (if you are SOE Support) or https://yourpracticeid.soeconnect.net/account/login ie: https://aujht56.soeconnect.net/account/login

Step 2: Login using:

Username: <provided by SOE> (firstname.lastname)

Password: <provided by SOE> (EXACT password)

 

Step 3: Click on Tenants & Search for Practice ID

Step 4: Login as this Tenant

2. Setup Terminals

Step 1. Navigate to Terminals > Manage terminals

Step 2. Click on SETUP NEW TERMINAL button

Step 3. Select the payment provider

Step 4: Provide the following details:

a) Reception number - Any name for the terminal e.g. Reception 1

b) Merchant ID - MID

c) Terminal ID - TID

d) CSC Id - CANT BE ANYTHING - Try to add the Tyro Customer Number (usually 5 numeric) as it will show on reports but this field can be filled with anything and wont affect the use of the terminal.

 

Step 5. ** WHILE ON CONNECT , FOLLOW THIS STEP ON THE PHYSICAL TERMINAL

On the terminal, go to:

Menu 5 Configuration Enter admin password OK 1 Integrated EFTPOS 2 Pair with POS START

Note**

This can timeout and you will have to repeat. Sometimes when you get to step “2. Pair with POS” and its ‘greyed’ out - please select integrated eftpos, then integrated mode. Then proceed with “2. Pair with POS”.

 

Step 6. ** Important: Perform Step 6 and then Step 7 immediately after.

Now go back to Connect and:

Step 6. Enter in the Merchant ID (MID) and Tenant ID (TID) into the form and then Click on ACTIVATE button

Step 7. Terminal: Press START button. RETRY until pairing is successful. The Reception number should be shown in the terminal.

 

 

Please do STEP C regardless of step B.


D. ADD PROVIDERS

Who can do this? - Can be done by practice, Tyro support OR HSO support (anyone with terminal adding permissions in connect)

Step 1. Click the actions Button and Select Service providers to setup the providers

 Step 2. Click on SETUP SERVICE PROVIDER button

Step 3. Provide the following details:

a) Provider number

b) Provider name

c) Service type (e.g. Dental)

 Step 4. Click on ADD/UPDATE button


E. FINAL STEP

Who can do this? - Can be done by practice, Tyro support OR HSO support (anyone with access to the pms)

Step 1. Turn on Claims with PAY and turn off HICAPS

Configure > Claiming Parameters > TICK Process claims through SOE PAY + UNTICK Process claims through HICAPS


THE NEXT FEW STEPS ARE NOT NECCESSARY TO SETIING UP A TERMINAL BUT ARE HERE FOR THE CASE WHERE YOU MAY NEED TO DO THESE OR TRAIN A SITE ON HOW TO DO THIS.


E. MULTI MERCHANT

Who can do this? - Can be done by practice, Tyro support OR HSO support (anyone with terminal adding permissions in connect)

 

Step 1. Select the Actions button for the terminal recently added

Step 2. Select Multi-merchant to set up merchants

Step 3. Click on SETUP MERCHANT button

Step 4. Provide the following details:

a) Merchant name

b) Merchant ID

Step 5. Click on ADD/UPDATE button


F. How to update the provider number in Exact

Who can do this? - Can be done by practice, Tyro support OR HSO support- recommended soe support

 

Step 1. Log into Exact

Step 2. Go to File > Providers

Step 3. Update the Provider No. field and save

 


 G. How to change the Medicare bulk billing flag in Exact

Who can do this? - Can be done by practice, Tyro support OR HSO support- recommended soe support

 

Step 1. Log into Exact 

Step 2. Go to File > Payors 

Step 3. Tick or untick Bulk Billing check box and save 

Note: If Bulk Billing check box is ticked, the patient automatically assigns right to benefit to the practice. The user will not be asked to assign benefit in this case.

 


H. How to process a Private Health claim

 

Step 1. Log into Exact as SOE Connect user with the provider number that can process private health claim (e.g. 2474786W). Update the Provider file if necessary (see B).

Step 2. Select the Patient icon in the work space

Step 3. Select a search key in the drop down

Step 4. Type the key (e.g.  <last name, first name>) or click on The menu button

Menu Button:

Step 5. Go to Chart tab

Step 6. Click on +1 next to the Misc tab in the left pane

 

Step 7. Click on OK button in the Create Treatment Plan window

 

Step 8. From the Service List tab on the right side pane, double-click on a service. Repeat to add more service to the treatment plan.

If the service is tooth-specific, select the service (e.g. 116) and double-click on the tooth number in the chart.

Step 9. Tick on the check box on the Treatment Plan (between - and x boxes)

Step 10. Click on TC button below the left pane

Step 11. Click on OK button when asked to set the recalls for the patient

Step 12. Click on Close button when asked to print the invoice

Step 13. Click on $ button from the patient tool bar to open the transactions

Step 14. Click on Payment button in the Transactions window

Step 15. Click on Process Claim button in the Payment window

Step 16. Click on Send Claim button in the Patient Invoice Data window

 

 Step 17. Select the terminal if there are more than one terminal and click on SUBMIT button

Step 18. Select the merchant if there are more than one merchant and click on SUBMIT button

Step 19. Swipe the health card in the terminal

Step 20. Click on ACCEPT button

Step 21. Click on Close button in the status page

Step 22. Click on Close button in the Payment window

Step 23. Click on Close button in the Transactions window


I. How to process a Medicare claim

 

Step 1. Log into Exact as SOE Connect user with the provider number that can process Medicare claim (e.g. 2147661H). Update the Provider file if necessary (see B).

Step 2. Select the Patient icon in the work space

Step 3. Select a search key in the drop down

Step 4. Type the key (e.g.  <last name, first name>) or click on

Step 5. Input the Medicare IRN

Step 6. Click on i button next to Medicare IRN to update the Medicare Card Number

Enter the Medicare Card Number, click on Update button and then OK button

Step 7. Go to Chart tab

Step 8. Click on +1 next to the Misc tab in the left pane

Step 9. Select CDBS as the Payor and click on OK button in the Create Treatment Plan window

Step 10. From the Service List tab on the right side pane, double-click on a service. Repeat to add more service to the treatment plan.

If the service is tooth-specific, select the service (e.g. 88311) and double-click on the tooth number in the chart.

Step 11. Tick on the check box on the Treatment Plan (between - and x boxes)

Step 12. Click on TC button

Step 13. Click on OK button when asked to set the recalls for the patient

Step 14. Click on Close button when asked to print the invoice

Step 15. Click on $ button from the patient tool bar to open the transactions

Step 16. Click on Payment button in the Transactions window

Step 17. Click on Process Claim button in the Payment window

Step 18. Click on Send Medicare Easyclaim Claim button in the Patient Invoice Data window

Step 19. Select the Claimant (i.e. patient code) and the Claim information (e.g. Referral Override Code, etc.). Click OK button.

Step 20. Select the terminal if there are more than one terminal and click on SUBMIT button

Step 21. Select the merchant if there are more than one merchant and click on SUBMIT button

Step 22. Click on Close button in the status page

Step 23. Click on Close button in the Payment window

 

Step 24. Click on Close button in the Transactions window

 


J. How to process a payment

Step 1. Log into Exact as SOE Connect user

 

Step 2. Select the Patient icon in the work space

Step 3. Select a search key in the drop down

Step 4. Type the key (e.g.  <last name, first name>) or click on

Step 5. Click on $ button from the patient tool bar to open the transactions (highlighted below)

Step 6. Click on Payment button in the Transactions window

Step 7. Select Tyro as the Payment Method and click on Process button in the Payment window

Step 8. Select the terminal if there are more than one terminal and click on SUBMIT button

Step 9. Select the merchant if there are more than one merchant and click on SUBMIT button

Step 10. Swipe the payment card in the terminal

Step 11. Select the account in the terminal

Step 12. Enter the PIN in the terminal if applicable

Step 13. Click on YES or NO button when asked to print customer copy

Step 14. Click on Close button in the status page

Step 15. Select Don’t Print button when asked to print the receipt in Exact

Step 16. Click on Close button in the Payment window

Step 17. Click on Close button in the Transactions window


K. Printing Options

Print from Terminal Only or EXACT Only - available from EXACT Versions 13.400+

Steps:

  1. Go to configure

  2. Claiming Parameters

  3. Settings

  4. Print claim statements using: Terminal Only or EXACT Only (See picture Below)

 


L. Cancel Approved Claim (EXACT)

Electronic cancellation

HSO Pay can handle electronic cancellation of claims within 24 hours being made, but this is manageable only if:

  • The patient is still in the practice with the private health card.

  • The connection between the terminal and the computer is functional.

If you select the Cancel Item button for today's electronically created claim, EXACT passes the data to the terminal and when the required data is received back, EXACT:

  • Reverses the payment on the original claim, and

  • Creates a cancelled claim statement.

The Cancel Item button is disabled if the claim is cancelled.

Manual cancellation

If either of the above conditions is not met and electronic cancellation is not possible, you can manually cancel private health claims.

Manual cancellation of a previous day's transaction

If you select the Cancel Item button for an electronically created claim that was not created today you will be prompted with the following dialog:

"This claim cannot be cancelled through the terminal as it was not created today. Would you like to cancel this claim manually? Please note that manual cancellations only adjust the transaction details in EXACT and you will still need to additionally cancel the claim with your claim provider."

You have the option of selecting Yes or No (default). If you choose Yes, EXACT will simply reverse the payment and prefix the transaction particulars with "Manual" text. A claim statement will not be created in this case.

Cancelled claims will flag items as not being claimed so that you can claim these items again if necessary. For those which are cancelled manually as described above, you will need to contact your claim provider with the original claim details.
