Email Attachments

  1. On the final stage of creating an email or https://soeidental.atlassian.net/wiki/spaces/PHS/pages/1056801308 you will see an “attach” button.

  2. If a patient has the same email address as the one you are trying to email and they are not linked as family members you will not be able to attach any files until the duplicate email addresses have been removed from the other patient files or they linked as family members.

3. After clicking the “Attach” button the attachment picker wizard will automatically find the current patient code (unless more than one patient has that email address). You can search for the required patient if this field is blank.

4. The next screen will populate all of the patients contact documents from newest to oldest.
You can change the dropdown box to find other types of patient files/images etc.
Double click the items or use the arrows to move them to the “selected” column. When finished adding all attachments click “finish”

Xrays:
They may default as DICOM images which the recipient may not be able to open. Tick “Convert selected DICOM images to JPEG format” to reduce the file size and make sure the recipient can view them on their end.

Attaching Other Files (i.e, Images, .PDF, .DOC)
If you wish to attach a file external to EXACT click “find other files” then change “Images” to “All Files” in the bottom right corner of the file explorer window if your desired file is not an image

Find and Select the file you wish to attach then click “Open” . You can only attach 1 file at a time.
Beware that most email providers have a limit to how much data you can send in an email. Some emails even as low as 2MB have been known to struggle to send out but it really depends on the email provider.

5. Once you’re happy with the Subject, attachments included and body of the email click “send”. You can monitor the Email Outbox and Sent folders from File, Email, Outbox/Sent to see if the email has sent successfully. If it has not, it may be worth either trying to reduce images/document sizes or sending the attachments over more than one email. Also feel free to contact the SOE Support team for assistance.
